Position Summary:
We are seeking a reliable, proactive, and detail-oriented
Office Administrator
to join our dynamic team. This role is critical to keeping our operations running smoothly and supporting both our creative staff and business processes. The ideal candidate is a self-starter who thrives in a fast-paced, design-forward environment. Key Responsibilities:
Communication : Answer phone calls, respond to emails and greet clients and visitors with professionalism and warmth.
Administrative Support : Providing clerical support to staff, including handling correspondence, organizing files, and maintaining records.
Scheduling and Coordination : Managing schedules, coordinating meetings and appointments, and organizing events.
Office Operations : Managing office supplies, maintaining equipment, and ensuring a clean and organized workspace.
Financial Tasks : Assisting with bookkeeping, processing invoices, and tracking expenses. Process purchase orders and assist with vendor communications
Human Resources Support : Assisting with onboarding new employees and maintaining employee records.
Problem-solving and Project Management : Identifying and resolving issues and assisting with administrative projects. Help coordinate events, installations, and project logistics
Technology Proficiency : Utilizing office software and equipment effectively.
Contribute to the overall positive and professional atmosphere of the office
Qualifications:
Previous experience in an administrative or office support role (experience in a design, architecture, or creative firm is a plus)
Strong organizational and multitasking skills
Proficiency in Microsoft Office Suite; familiarity with design-related software is a bonus (e.g., Studio Designer, Blue Beam)
Friendly, approachable, and team-oriented attitude
Ability to maintain confidentiality and discretion
