Overview
The Advancement Assistant ensures a seamless donor experience from first gift to ongoing engagement by assisting with daily processing and data entry, as well as maintaining accurate and updated constituent records. Responsibilities
Assist in administering gift entry from multiple sources and channels Help prepare and mail thank you letters and other acknowledgments to donors. Assemble and distribute Enrollments, Perpetual Enrollments and Greeting Cards, as well as monitor inventory of each. Update addresses and contact information based on appeals and returned mail. Administer matching gift opportunities. Run Raiser’s Edge NXT constituent and data queries and reports, as requested. Handling the accurate and timely processing of donations, including checks, credit cards, pledges, and other forms of gifts which involves inputting donation details, donor information, and other relevant data into Raiser’s Edge NXT. Generating reports based on the entered data for fundraising and reporting purposes. Verifying data for accuracy and completeness, correcting errors to ensure data integrity and consistency across systems. Respond to constituent inquiries via phone and email. Coordinate responses, as needed, with Advancement staff. Assists in monitoring the Province office switchboard and transfers calls to the appropriate office/person. Compiles prayer requests received via online and phone messages and forwards to the St. Ignatius Hall Superior every week. Perform other duties as assigned. Qualifications and Education
Bachelor’s degree preferred, Associate’s required. Minimum two years of responsible administrative and constituent support experience, preferably in a nonprofit office or similar fundraising organization. Working knowledge of Microsoft Office applications. Ability to use constituent record management systems (e.g. Raiser’s Edge RE NXT, Salesforce NPSP or Ellucian Advance) preferred. Familiarity with constituent engagement, fundraising principles, and donor stewardship. Knowledge of Catholic faith principles preferred, not required. Application
