Tennessee Wildlife Federation is one of the state’s oldest and most influential organizations dedicated to conserving Tennessee’s wildlife and natural resources. We are seeking an experienced Grant Accountant to manage the financial administration of the Federation’s grant portfolio. Reporting to the Deputy Chief of Operations and working closely with the Staff Accountant and program teams, this position is responsible for overseeing all post-award grant accounting functions. This includes budget development support, financial tracking, expenditure monitoring, compliance with funding requirements, preparation of reports and invoices, and grant closeout. The Grant Accountant plays a crucial role in ensuring accurate accounting, timely reporting, and robust internal controls for various public and private grant sources.

Job Responsibilities
Grant Budgeting and Financial Planning Assist program staff in developing grant budgets and understanding contractual obligations. Develop and maintain our Schedule of Expenditures of Federal Awards system to track all grant activity and ensure full compliance with grant terms. Provide funding stream and program-specific financial status updates, forecasts, and projections to leadership. Set financial targets and create budget projections aligned with program goals and sustainability plans. Assist with pre-award budget creation in collaboration with development. Maintain ongoing communication with leadership on project and departmental budgets, including variance analysis. Grant Accounting and General Ledger Management Review and monitor grant-related expenditures for financial accuracy, proper coding, complete documentation, and alignment with funding source requirements. Perform regular reconciliations of grant and balance sheet accounts; investigate and resolve discrepancies proactively. Review monthly requisitions, journal entries, revenue recognition, budget modifications, and financial reports. Evaluate expenditures for compliance with policies and regulations, appropriate allocation, and correct general ledger classification. Prepare journal entries for grant revenue, personnel costs, intercompany transactions, and indirect cost allocations on a monthly basis. Set up and manage projects in the general ledger and other systems to ensure accurate tracking of grant revenue and expenses. Coordinate cross-departmental communication to ensure proper use of grant project coding and consistent coding of expenditures across all teams. Grant Compliance and Reporting Ensure compliance with federal, state, and local grant regulations and reporting requirements. Compile, review, and submit financial reports and required communications to granting agencies in accordance with grant timelines and regulations. Maintain and update financial and grant-related policies, procedures, and internal controls to ensure compliance and operational efficiency. Maintain access to various government portals for grant compliance and reporting. Collaborate with Finance to ensure proper accounting for donor-restricted grants and the timely release of restricted funds. Grant Lifecycle and Project Oversight Manage all phases of grant-funded projects, including infrastructure setup, financial oversight, and documentation. Perform post-award functions, including invoicing, financial reporting, labor distribution changes, and closeout processes. Serve as a resource to Development for grant application budgets and reporting as needed. Provide support in audit preparation and execution, including compiling grant documentation and responding to inquiries during internal and external reviews. Participate in special projects related to grants and broader financial initiatives. Other Duties Routinely evaluate the organization’s NICRA eligibility and complete related applications and renewals. Research and analyze grant-related financial issues, prepare detailed grant invoices, and record restricted fund activity with a focus on accuracy and compliance. Collaborate with program staff, leadership, and grantor agencies to ensure financial clarity and compliance. Prepare and submit accurate and timely grant invoices; maintain records and documentation for audits. Qualifications
Qualifications Bachelor’s degree in Accounting, Finance, Business, or related field. 3+ years of experience working in accounting or finance, with at least 2 years of direct experience in grant accounting; nonprofit fund accounting experience is a plus. Experience with Generally Accepted Accounting Principles (GAAP) and Uniform Guidance. Experience in grant management, including administering, monitoring, and reporting on grants from government agencies, foundations, or other funding sources. Experience preparing for financial audits and responding to grantor or funder financial reviews. Skills & Abilities Strong communication (written and verbal) and interpersonal skills. Strong knowledge of fund accounting, restricted/unrestricted fund tracking, and cost allocation methods. Ability to analyze financial data, prepare reports, and explain complex financial information to non-financial staff. Proficiency with general ledger systems and financial reporting tools, such as QuickBooks or similar. Ability to maintain a high level of confidentiality regarding sensitive information. Ability to articulate the benefits and values of mission-driven work. Proven ability to be flexible, work cooperatively, and build productive relationships at all organizational levels.
