The Administrative Assistant 1 is responsible for providing clerical and administrative support. Prepares documents, performs data entry, electronically files documents, makes copies and mails or disseminates records. Serve as a Court Monitor, attend court proceedings, ensure audible recording of proceedings, and receive and maintain court exhibits. Maintain a docket or calendar of deadlines and appointments. Manage and coordinate the timely processing of documents, correspondence, and records. Manage and track information and data using electronic databases. Route files and information to appropriate destinations; answer telephones, provide customer service, and greet visitors. Support judges and staff; coordinate meetings, facilities, training testing, vehicles, travel, staff, video conferencing, and teleconferences. Take minutes and support facilitator committees and staff. Compile and prepare statistical reports or analyses. May act as site coordinator coordinating services with outside vendors. Receive, balance, reconcile, and distribute incoming monies; order supplies and ensure equipment maintenance; perform records management and retention. May assist in the courtroom or with court programs; other duties as assigned. Administrative Assistant 2:

Responsible for planning, organizing, and coordinating day-to-day and long-term projects and activities. Prepare procurement requests and bids/quotes; distribute materials, documents, agendas and minutes. Perform data entry, electronically file documents, make copies and disseminate records; draft, proofread, edit, and manage timely processing of documents and records. Maintain rosters for committees or groups; serve as liaison with court staff, state agencies, and the public; docket or calendar hearings, deadlines, and appointments. Coordinate and schedule meetings, facilities, training, testing, vehicles, travel, staff, video conferencing and teleconferences; answer phones and greet visitors; demonstrate conflict resolution and customer service. Manage and track information using electronic databases; prepare statistical reports, certificates, fliers, brochures, and business cards. Route files, information, mail, and records; monitor, refer and orient program participants; prepare, maintain and purge customer files (may include confidential information). Coordinate employee identification, security access, and parking validation; liaison between committees, the public, or other judicial entities; liaison to attorneys for assigned cases; may provide notarization and assist with budget or legislative projects. Track and prepare travel or other reimbursement requests; coordinate services with outside agencies; receipts, balances, reconciles and distributes all incoming monies; train staff; develop or analyze procedures as needed; may supervise under mentorship. Research and prepare documents, notices of hearings and orders for judicial signatures; prepare court files, schedule conferences, and distribute appellate opinions; other duties as assigned. Qualifications

Administrative Assistant 1

— Education: high school diploma or GED; Experience: two (2) years in a secretarial, clerical, or related field. Education substitution: up to one year via post-secondary education (thirty (30) semester hours equals one year). Administrative Assistant 2
