Our client is a leading executive search firm specializing in the placement of top-tier professionals within the alternative investment management industry. This is a confidential replacement opportunity for an Executive Assistant to the CEO. The role requires a highly organized, proactive professional who thrives in a fast-paced environment, anticipates needs, and consistently delivers with accuracy and speed. The CEO has high expectations and is looking for someone who can manage details independently, handle sensitive information with discretion, and ensure seamless support for business development and client-facing activities. Responsibilities
Inbox + Calendar Management: Manage a high-volume inbox with exceptional attention to detail, prioritizing critical client and business development communications; ensure the CEO is kept informed of important emails and follow-ups; thoughtfully manage a busy calendar, balancing travel, meetings, and necessary breaks. Business Development Support: Track client communications, follow up on contracts, and assist with pipeline management; prepare the CEO for meetings with relevant materials and insights; lead internal sessions focused on tracking business opportunities and pitches. Client Interaction & Coordination: Oversee client meeting logistics, including confirmations, preparation, and follow-up materials; record and summarize client calls, highlighting key takeaways and next steps; liaise with internal teams and external partners to ensure smooth execution of deliverables. Operations & Administrative Excellence: Collaborate closely with the Director of Operations and broader team; support in contract management and coordination with media/PR partners; maintain organized systems for client folders, communications, and reports. Required Qualifications
Prior experience supporting a CEO or C-Suite executive is required. Ability to work with urgency and precision; strong follow-through is essential. Thick-skinned with high emotional intelligence—comfortable handling feedback. Exceptional organizational skills with the ability to anticipate needs. Advanced proficiency in Microsoft Office Suite; familiarity with Airtable and Constant Contact is a plus (training provided). Must be based in the Tri-State area and able to attend occasional in-person meetings. Remote work discipline—must be fully focused from a home office environment without distractions.
