A Well-Known, Prestigious Investment Advisory Firm in Midtown Manhattan is seeking a new Full-Time / Permanent Executive / Personal Assistant to support the Chairman / CEO. This is an incredibly high-profile, confidential role for only the best of the best as they will serve as a trusted partner, exercising discretion, judgment, and professionalism while managing sensitive information and acting as a key liaison, both internally and externally, to ensure the Chairman / CEO can focus on strategic priorities and organizational goals. Candidates must have a minimum of 10+ years of applicable C-level / high-profile executive business and personal administrative experience and a Bachelor’s degree is required. Must demonstrate longevity and tenure! Ideal candidates should be incredibly polished and professional, highly organized, detail-oriented, proactive, and possess a flexible, “white-glove” service mentality. This person must also be able to seamlessly balance multiple priorities in a fast-paced environment. Salary depends on experience (150-300k+ base) plus discretionary bonus eligibility.

Hours are 8 : 30am-6 : 00pm. Hybrid work schedule (Monday-Thursday in office; Fridays remote), with flexibility if / when needed.

Responsibilities

Provide comprehensive, day-to-day, high-level executive business and personal administrative support to the Chairman / CEO.

Schedule and organize extensive internal and external meetings, conference / video calls, and appointments across various time zones; manage and maintain an extremely busy and ever-changing calendar, ensuring calendar is up-to-date and contains all relevant information.

Ensure complete preparation for all meetings, including researching and writing briefings, coordinating materials, and communicating with attendees. Track and ensure follow-up from all meetings and events.

Coordinate complex domestic and international travel arrangements and detailed itineraries, including commercial flights and private aviation, hotel accommodations, car services / ground transportation, visas / passports, dining reservations, etc.

Prepare, process, track, and submit expense reports.

Manage heavy email inbox, including drafting and editing letters, memos, and correspondence and handling contact management.

Provide phone coverage, tracking messages and following up.

Maintain and update all files; initially review and sort all mail.

Provide personal administrative support as needed.

Required Qualifications

Minimum 10+ years of applicable C-level / high-profile executive business and personal administrative experience.

Bachelor’s degree required / strongly preferred.

Extremely polished, professional, and client-facing.

Exceptional organizational and multitasking skills with strong attention to detail.

Detail-oriented and proactive.

Excellent interpersonal and communication skills (both written and verbal); must be comfortable speaking with internal and external stakeholders.

Ability to seamlessly balance multiple priorities in a fast-paced environment.

Proven ability to manage sensitive information with discretion, confidentiality, and professionalism.

Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
