Client Service Representative
Being a Client Service Representative (CSR) in a veterinary office requires a special individual capable of working effectively with both humans and animals.
As a CSR, your primary responsibility is to ensure efficiency in all front desk operations.
CSRs are the first and last impression of Helping Hands Affordable Veterinary Surgery and Dental Care. It is vital that all clients feel welcome, safe, and comfortable. CSRs are valuable members of our team, and we foster an environment that encourages learning and professional growth. Become the bridge between pet owners and patient care.
Essential Functions and Responsibilities:
Deliver exceptional customer service to pet owners in person and over the phone in a polite and timely manner.
Schedule and confirm appointments, maintain records, provide estimates, and process invoices.
Respond with compassion and empathy in stressful and emotional situations.
Maintain a clean, stocked, and organized lobby and front office area.
Educate clients on wellness plans, food, and products sold in the waiting room.
Perform opening and closing procedures, end-of-day reports, and deposits.
Data entry for records, client questionnaires, referral information, etc.
Distribute mail.
Ensure referral letters and lab results are sent to the appropriate veterinarians.
Admit patients, ensuring they are weighed and all information is current.
Skills and Qualifications:
1-3 years’ experience in veterinary or human medical practice preferred.
Proficiency in computer use (email, Word, Excel) and front desk equipment (fax, credit card machine, copier, postage meter).
Basic math skills for deposits, making change, and processing payments.
Understanding of veterinary terminology and the ability to communicate effectively with clients and the veterinary team.
Ability to triage calls and waiting room situations to distinguish emergencies from routine visits.
Excellent communication skills.
Proficient in time management, problem-solving, and multitasking.
Enthusiastic team player with a patient and positive attitude.
Ability to work seated for most of the day.
