Primary Care Clinic Lab Coordinator (Student Health & Well-Being) Primary Care Clinic Lab Coordinator – work 5 days a week (40 hours per week) across the three primary care clinics on the Homewood, East Baltimore, and Washington D.C. campuses. Reports directly to the Associate Directors of Primary Care at each site and shares supervision with them. Will collaborate with other medical assistants and provide backup coverage as needed.

Responsible for managing compliance with Clinical and Laboratory Standards Institute (CLSI), Clinical Laboratory Improvement Amendments (CLIA), Maryland State DHMH, Johns Hopkins Hospital (JHH), and Accreditation Association for Ambulatory Health Care (AAAHC) standards in consultation with the Johns Hopkins Hospital (JHH) Point of Care Laboratory.

Specific Duties & Responsibilities

Adhere to standard precautions and assure optimal laboratory safety and compliance within SHWB PC laboratories and clinics. Update clinic staff on any changes to optimize safety.

Monitor appropriate quality control of all lab functions and investigate and resolve laboratory issues.

Maintain a system to report and track normal and abnormal laboratory results and distribute to clinicians; maintain a system for clinicians to access all laboratory records and results.

Track specimens and results routinely and ensure results are received in a timely and accurate manner.

Monitor HL7 messages from Quest, Beaker, Radiant, and MD and DC State Immunization Registries in Point and Click. Troubleshoot interfaces and resolve transport errors, sometimes with support from the EHR vendor.

Monitor specific abnormal screening results, including titers, IGRA, PAP cytology, breast imaging, and CRC, to ensure these are documented for tracking in Health Maintenance.

Monitor specific abnormal chronic disease results, including Hemoglobin A1C, HIV VL, CD4 count, microalbumin, etc., to ensure these are documented for tracking in Disease Management.

Monitor appropriate specimen collection, drawing, labeling, processing, and storing of tests; monitor test requisitions and reporting; ensure specimen validity and result accuracy.

Conduct validation studies for new procedures, tests, and equipment.

Update, document, and inform clinicians of any changes in specimen collection, lab procedures, and tests resulting from in‑house and outside reference laboratories.

Schedule equipment and instrument service maintenance and repair for all clinics; maintain and conduct internal quality assurance on instruments and equipment according to manufacturer recommendations.

Document and retain all records for service, maintenance, and quality assurance.

Serve as the primary point of contact with Stanley Monitoring for vaccine fridge/freezer and specimen remote monitoring.

Serve as primary point of contact with clinical engineering, oxygen, liquid nitrogen, EOC, and supply vendors.

Submit CLIA applications for new testing and/or renewals; troubleshoot and document laboratory and clinic equipment malfunctions according to technical service and manufacturer recommendations.

Update any changes to laboratory test kits, procedures, and quality control in accordance with manufacturer recommendations.

Update procedures in the Laboratory Procedure Manual; update and revise Quality Control Logs for the laboratory, eyewash stations, and shower drain; monitor that appropriate documentation is completed across sites.

Investigate laboratory‑related issues specific to test results, assays, sample integrity, controls, policies, procedures, or discrepancies.

Monitor communicable disease reports and ensure triage nurses and/or providers submit documentation to the health department.

Provide patients with laboratory specimen collection information as needed; develop patient collection education materials.

Maintain inventory using the EHR Inventory Program; track, order, rotate, and stock laboratory tests and clinic supplies with assistance from clinic medical assistants at all locations.

Other duties as assigned.

Schedule

Monday‑Friday, 8:30 am to 5 pm. May include limited evenings and weekends for extended clinic hours, outreach programs, and crisis or emergency response.

Representative on SHWB and JHU/JHMI Committees

Attend and participate in committees assigned by the supervisor.

Minimum Qualifications

High School Diploma or graduation equivalent.

Three years of related experience.

Additional education may substitute for required experience, and additional related experience may substitute for required education beyond a high school diploma or graduation equivalent, as permitted by the JHU equivalency formula.

Preferred Qualifications

Bachelor of Science Degree.

Board Certified by the American Society of Clinical Pathologists (ASCP).

Successful completion of a Medical Assistant School Certificate Program.

Certification or registration nationally, if applicable.

AED / CPR Certified.

Special Skills & Knowledge

Experience working with diverse patient populations and a strong understanding of intersecting identities, including historically marginalized groups, various ages, cultural and socioeconomic backgrounds, and others.

Knowledge of Microsoft Office Suite, including Teams, Outlook, SharePoint, Excel, and Word.

Knowledge of Power DMS is helpful.

Complete all required and ongoing electronic health records and scheduling system trainings as directed.

Complete all required HIPAA and other specified online training courses.

Excellent written and oral communication and organizational skills.

Commitment to the care, development, and education of students and learners.

Ability to collaborate with a Lab Consultant for effective operation of the SHWB PC laboratories.

Education and Experience Equivalency Refer to the job description for allowable equivalencies. JHU Equivalency Formula allows 30 undergraduate credits or 18 graduate credits per year of experience, with additional non‑related coursework permitting substitution up to two years.
