TalentWealth Recruiting, a boutique financial services recruiting firm, is recruiting for an exciting opportunity. An independent RIA with over $10 Billion AUM based in NYC is hiring a Receptionist to their growing team. Our client is seeking a polished and organized professional with solid experience as a receptionist and administrative assistant to join their growing asset management firm. This position interfaces with clients, interested parties and all levels of employees on a daily basis.

Responsibilities include:

  • Answer and manage incoming telephone calls promptly according to Firm policy.
  • Transfer calls to employees and take accurate and detailed phone messages.
  • Meet, greet and direct Firm clients and visitors in a friendly and professional manner.
  • Maintain a professional appearance for the reception area, lobby and conference rooms.
  • Sort and distribute all mail promptly, scan mail to remote individuals.
  • Make travel arrangements and reservations for Portfolio Managers.
  • Perform general administrative and clerical duties including, but not limited to: transcribing, mailing, faxing, scanning, copying, typing, distributing reports, emailing, filing, scheduling, binding marketing materials and data entry.
  • Maintain office supplies by performing inventory checks and ordering supplies needed.
  • Maintain office organization
  • Handle ad hoc requests and special projects as needed.
  • Perform operational tasks as assigned.
  • Work closely with Portfolio Managers, Senior Executives and the Operations Team to execute core responsibilities and all firm goals and initiatives.
  • Work efficiently and facilitate a team oriented culture.
  • Assist Director of Client Services with tasks and ad hoc projects

QUALIFICATIONS:

  • Exceptional face-to-face, telephone and written communication skills for professional interaction with clients, guests and employees.
  • Successful candidate will demonstrate proven ability to be professional and courteous, while attending to clients and visitors in person and managing incoming telephone calls effectively.
  • Must maintain a professional business appearance and demeanor at all times.
  • Must be able to type 50-60 words per minute.
  • College degree or high school diploma and relevant work experience.
  • 2 or more years of receptionist and administrative experience.
  • Strong organizational skills and attention to detail is essential.
  • Ability to handle multiple tasks efficiently and effectively.
  • Knowledge of Microsoft Office Products; Outlook, Excel, Word and Power Point.
  • Strong initiative and work ethic, and an ability to work both within a team and on a self directed basis.
