Executive Assistant – Camarillo, CA (On-site)
We’re seeking a highly organized, detail‑oriented Executive Assistant to provide high‑level support to senior leadership at Ultimate Staffing. The role requires exceptional multitasking, strong communication skills, and the confidence to take initiative in a fast‑paced environment.
- Manage information flow and ensure timely, accurate communication.
- Coordinate executive calendars, schedule meetings, and prepare necessary materials.
- Track daily expenses and prepare weekly, monthly, and quarterly reports.
- Oversee and support other administrative staff as needed.
- Maintain office operations, including managing supplies and ensuring a safe, organized workspace.
- Format and prepare internal and external communications such as memos, reports, and presentations.
- Take detailed meeting minutes and follow up on action items.
- Screen and direct phone calls and correspondence.
- Maintain and organize digital and physical filing systems.
- Audit internal processes for efficiency and compliance.
- Manage RFQs and Escrow documentation.
- Perform additional duties and support leadership as needed.
Qualifications
- Bachelor’s degree required; MBA preferred.
- 3-5 years of experience supporting senior executives.
- Advanced proficiency in Microsoft Excel, Word, and PowerPoint.
- Excellent organizational skills and attention to detail.
- Strong written and verbal communication skills.
- High level of integrity, professionalism, and discretion with confidential information.
- Self‑starter with strong follow‑up skills and the ability to work independently under pressure.
- Positive attitude and excellent interpersonal skills.
Base Pay Range
$70,000 - $95,000 annually
