Position Summary

The Accounting Manager is responsible for monitoring the financial health and viability of Meta House, providing the Board of Directors and the President/CEO with timely and accurate information regarding the financial condition of the organization. The Accounting Manager oversees all financial operations, including payroll, reporting, budgeting, and ensuring compliance with all grant funding requirements. The Accounting Manager ensures that all accounts payable/receivable and donation transactions are recorded and reported accurately and in a timely fashion and acts as the primary liaison with all external financial institutions, accounting support, auditors, and financial advisors.

Position Responsibilities

  • Financial Management & Reporting – Manage day-to-day financial functions including accounts payable/receivable, cash flow, expense and credit card management.
  • Provide accurate and timely financial reporting.
  • Oversee monthly close processes, journal entries, and account reconciliations.
  • In collaboration with external accounting firm, prepare monthly financial statements and dashboards for leadership and Board review.
  • Ensure compliance with Generally Accepted Accounting Principles (GAAP) and nonprofit best practices.
  • Liaise with Board and relevant finance committees.
  • Payroll Oversight – Oversee biweekly payroll processing for all staff in coordination with payroll clerk/human resources, ensuring accuracy, confidentiality, and compliance with organizational policies and legal requirements.
  • Ensure timely and accurate payroll tax filings, W-2s, and other statutory reporting.
  • Maintain internal controls for payroll, including periodic audits and reconciliation with the general ledger.
  • Prepare and review payroll reports, including labor cost analysis.
  • Budget and Grant Management – Manage organizational budgeting process in collaboration with executive team, Board of Directors, and other organizational leaders.
  • Monitor financial projection and cashflow throughout the year and advise leaders on opportunities and liabilities.
  • Collaborate with relevant staff to create budgets and financial reports for public and private funders.
  • Track and manage grant expenditures, ensuring alignment with funder restrictions, regulatory compliance, and internal cost allocation protocol and controls.
  • Support post-award financial management for grants including invoicing or other drawdown requests and documentation.
  • Policies & Procedures – Develop, implement, and regularly update financial policies and procedures to ensure strong internal controls and regulatory compliance.
  • Collaborate with executive leadership to align financial policies with organizational strategy and goals.
  • Train staff on expense reporting and other financial protocols and compliance matters as needed.
  • Maintain clear documentation of all finance-related workflows and procedures for continuity of operations, audit readiness, and staff reference.
  • Conduct regular reviews of financial workflows including service billing to identify areas for efficiency and improvement.
  • Billing & Receivables Oversight – In collaboration with Billing Supervisor and/or other relevant leaders (including philanthropy), oversee the process for all collections including medical claims submission, payment posting, denials management, and any other collections.
  • Oversee revenue cycle reporting and make suggestions to improve performance.

Requirements

  • BA required
  • 5+ years of progressive financial management experience
  • 2+ years supervising others
  • Strong knowledge of accounting principles
  • Strong proficiency in financial software programs (e.g. Microsoft Excel)
  • Strong communication and leadership abilities
  • Ability to work independently and in a team environment
  • Attention to detail and strong organizational skills
  • Commit to the organization’s mission, vision, and guiding principles
  • Solutions-based approach and a consistent focus on improving processes and systems while maintaining the integrity of financial information
  • Knowledge of federal grant compliance

Preferred Experience

  • 2+ years of nonprofit financial management preferred
  • 2+ years in a payroll management or oversight role required
  • 2+ Payroll software administration (e.g. Paycom, ADP, Workday, Paychex or similar)
  • 1+ years of healthcare or other fee-for-service billing preferred
  • Experience with budgets ranging from $9M-$15M
