Position Summary
The Executive Assistant serves as a trusted partner to the CEO, playing a key role in ensuring executive support, streamlining operations and advancing strategic priorities. This is a high‑trust, high‑impact role requiring strong judgment, exceptional attention to detail, and an unwavering commitment to the mission.
This in‑person role requires a consistent on‑site presence and flexibility to support events during evenings and weekends.
Key Responsibilities
Serve as a strategic advisor to the CEO and a central point of coordination across the organization.
Proactively manage the CEO’s calendar, including scheduling internal and external meetings.
Manage a high volume of daily email correspondence on behalf of the CEO, ensuring timely and professional communication.
Plan and coordinate all travel arrangements and itineraries.
Lead and manage special projects, ensuring timely execution of key strategic initiatives.
Prepare meeting agendas, talking points, presentations, reports, and follow‑up materials.
Act as liaison between the CEO, senior leadership, and agency staff to support alignment and communication.
Coordinate communications with the Board of Directors, including meeting planning, agendas, minutes, and follow‑ups.
Serve as a point of contact for media and press inquiries, coordinating messaging and ensuring a consistent, professional presence.
Assist in managing communication and prioritization with donors and funders, ensuring timely responses, acknowledgments, and alignment with development goals.
Represent the CEO and organization in meetings and public settings with professionalism and discretion.
Promote a positive, respectful, and mission‑aligned workplace culture.
Qualifications
8+ years of experience in a high‑level Executive Assistant, Chief of Staff, or senior administrative role.
Strong proficiency in Microsoft 365 (Outlook, Teams, Excel, PowerPoint, SharePoint)
Proven experience managing high‑volume e‑mail and calendar coordination in a fast‑paced environment.
Excellent writing, organizational, and time management skills
Reliable transportation required
Ability to work independently while maintaining excellent follow‑through
Commitment to confidentiality, discretion, and professionalism in all situations
Proficiency in Canva for presentation and marketing material creation
Experience preparing communication for Boards of Directors, media, donors, or funders.
Highly flexible and able to change priorities quickly
Highly detail‑oriented and able to handle multiple priorities with grace under pressure
Experience in nonprofit organizations and familiarity with fundraising practices preferred.
Physical Requirements
This role may require light physical activity as part of supporting events and daily logistics. This could include:
Setting up or assisting with in‑office or offsite events
Lifting or transporting donations, materials or equipment (e.g., presentation boards, event supplies, community donations)
Moving throughout the office or community for errands or on‑site needs
The ideal candidate should be comfortable being on their feet and capable of light lifting or movement when necessary to support the executive and the team.
