Position Summary The Admissions Coordinator at Brockton Behavioral Health Center (BBHC) plays a pivotal role in managing the entire admissions workflow for our acute care psychiatric facility and Clinical Stabilization Services (CSS) unit. This position ensures the smooth acceptance of appropriate patients, manages the interface between clinical, administrative, and utilization management (UM) processes, and supports timely, safe, and compliant patient placement. The Admissions Coordinator will collaborate closely with clinical leadership, UM teams, Patient Financial Counselors (PFCs), and senior leadership to maintain optimal patient flow, manage unit acuity and capacity, and provide excellent patient-centered care.

Essential Responsibilities / Duties Admission Review & Acceptance

Review admission requests for appropriateness based on clinical, regulatory, and facility criteria.

Accept admissions that meet standard criteria and, when further review is needed, escalated to clinical or administrative leadership.

Collaborate with senior leadership and nurse directors to evaluate unit acuity, staffing, and capacity to determine feasibility of new admissions.

Utilization Management (UM)

Verify that UM criteria are met prior to admission; if criteria are not met, ensure appropriate teams are contacted for resolution.

Work proactively with PFCs to activate early intervention for patients admitted without insurance or with complex coverage issues.

Coordination & Communication

Serve as a liaison between referral sources, clinical teams, nurse directors, and administration to facilitate smooth admissions.

Ensure timely communication regarding bed availability, patient needs, and barriers to admission.

Documentation & Compliance

Ensure that all required admission consents, authorizations, and documentation are collected and completed prior to or at the time of admission.

Support clinical teams with necessary workflows related to patient admission processes.

Capacity & Acuity Management

Monitor real-time unit capacity, staffing levels, and patient acuity across the facility.

Collaborate with senior leadership and unit leadership to make decisions about new admissions based on capacity and acuity.

Support & Collaboration

Collaborate with interdisciplinary teams including social workers, clinical staff, PFCs, and utilization review to ensure seamless patient transitions.

Identify and elevate systemic barriers to patient flow and collaborate on process improvements.

Job Requirements Required Education and Experience

Associate’s degree in Nursing, Healthcare Administration, Social Work, or related field required.

Minimum of 1 year of experience in healthcare admissions, case management, utilization review, or care coordination; preferably in an acute psychiatric or behavioral health setting.

Experience with electronic health records (EHR) and admission workflows required.

Preferred Education and Experience

Bachelor’s degree preferred.

Familiarity with insurance verification, UM processes, and payer guidelines preferred.

Certifications, Licenses, Registrations Required Current BLS Certification

Knowledge, Skills & Abilities (KSAs)

Strong knowledge of admission criteria for psychiatric facilities, including acute and CSS levels of care.

Proficient in clinical and administrative escalation processes, with excellent judgment and decision‑making skills.

Understanding utilization management requirements and insurance verification procedures.

Strong communication and collaboration skills, with the ability to coordinate effectively with interdisciplinary teams.

Excellent organizational skills, ability to manage multiple priorities and deadlines in a fast‑paced environment.

High level of attention to detail, problem‑solving skills, and commitment to patient‑centered care.
