DAILY responsibilities: Post and deposit checks as received; Set up any new job costs budgets before a project starts; Enter accounts payable. WEEKLY responsibilities: Complete payroll hours and benefits on Wednesday for payroll company processing; Deposit payroll taxes on IRS website; Deposit/post 401K withholding on Ascensus website; Print payable checks. MONTHLY responsibilities: Monthly Indiana and City withholding deposit; Deposit Kentucky withholding taxes bi-weekly; Prepare Income Statement and Balance Sheets for six Lichtefeld owned companies; Bill construction projects to owners on AIA format prior to the first day of the month; Bill any time and material jobs prior to the first day of the month; Reconcile all bank statements; Prepare Work In Progress report for Lichtefeld Inc.; Reconcile VISA statement for Owner purchases; Adjust access control door opening schedule; Review monthly statements for real estate partnerships managed by PM company. QUARTERLY responsibilities: Pay estimated taxes for the company, partnerships and the president personally; Bill Water Usage for One partnership. ANNUALLY responsibilities: Update Sam reporting for properties; Meet with insurance company for annual insurance renewals and update schedules of property and property values for quotes; Meet with insurance auditors to complete insurance audits (General liability and workers’ compensation); Update insurance premium deductions in payroll after health insurance update; Annual payroll reporting for all tax jurisdictions; Annual auto fringe deductions on the 2nd or 3rd payroll of December; Post stockholder health insurance on payroll as fringe in December along with Auto fringe; Calculate CAM expenses for partnerships and LLCs and adjust tenant CAM expenses; Annual reporting for all Partnerships and corporations on Kentucky SOS; Update CAM expenses for partnership and adjust CAM charges. MICELLANIOUS WHEN NEEDED: Issue key fobs for building access; Prepare leases and addendums to leases as needed; Manage and update software for Computer ease accounting software; Order phones and set up for new employees or update phones for current employees; Maintain computers and order updates as needed; Submit advertising invoices for ad share reimbursement. Requirements
– Company is a design-build general contractor. Seeking a Controller/Bookkeeper with minimum 6 years of experience, preferably in the construction or construction trades industry. Must have experience in full cycle accounting (accounts payable, accounts receivable, reconciliations, general ledger entry and accrual accounting). Should have month- and year-end financial reporting experience, multi-vendor transaction management, insurance benefits knowledge and experience, cost accounting, cash flow, forecasting, budgeting, work-in-progress reporting. Payroll entry is a plus; Human Resources experience is a plus. Proficiency in Microsoft Office 365. Quicken Books or similar accounting systems (preferably ComputerEase) and general office management skills are required for day-to-day coordination and problem solving.
