Executive Assistant

What you’ll do:
Calendar & Travel Management: Own the firm owner’s calendar—optimize, protect, and update it with foresight. Coordinate internal and external meetings, appointments, and engagements. Arrange all travel, including flights, hotels, transportation, and itineraries, ensuring alignment with priorities and preferences.
Inbox & Communication Handling: Manage the owner’s inbox daily—triage emails, flag urgent items, and draft timely, professional responses when needed. Ensure key messages and action items are never overlooked, keeping internal and external communication flowing smoothly.
Meeting & Documentation Support: Attend key meetings with the owner, take accurate notes, and promptly produce clear, actionable summaries. Draft internal memos, prepare briefing documents, and track all deliverables discussed.
Project, Task & Operational Oversight: Anticipate needs, manage priorities, and prevent bottlenecks. Maintain oversight of time‑sensitive items like FOIA requests or Court of Appeals materials. Ensure smooth administrative operations without micromanagement or constant reminders.
Events & External Coordination: Plan and execute firm‑hosted or attended events from end to end, managing setup, logistics, and teardown. Coordinate invitations, supplies, venues, and external communication to ensure seamless delivery.
What we’re looking for:
Experience: At least 3 years in executive support roles, ideally supporting a business owner, managing attorney, or senior leader. Legal industry experience is a plus but not required.
Technical Skills: Proficiency with Google Workspace (Gmail, Calendar, Drive), Zoom, Dropbox, and other productivity platforms. Strong typing, formatting, and document organization skills expected.
Proactivity & Follow‑Through: Anticipates needs without being asked; follows up consistently, tracks action items, and keeps things moving without reminders. Builds trust by taking initiative and delivering reliably.
Communication Skills: Clear, timely, and professional communicator—written and verbal—capable of drafting memos, summarizing meetings, and handling correspondence independently.
Organizational Strength: Manages calendars, tasks, deadlines, and documents with precision. Keeps the owner on track and prevents details from slipping through the cracks.
Professionalism & Discretion: Shows up prepared, polished, and represents the firm with care. Maintains absolute confidentiality when handling sensitive legal, client, and internal communications.
Resilience: Can work with a strong personality and handle direct communication without taking it personally. Stays focused and composed under pressure.
