Encore Development Company is seeking a highly organized and detail-oriented Administrative Assistant with experience in prevailing wage compliance and certified payroll reporting to support our construction office operations. This vital role ensures accurate project documentation, certified payroll submissions, and smooth coordination between project managers, subcontractors, vendors, and clients. The ideal candidate has experience with LCP Tracker, DIR reporting, and Davis-Bacon compliance and thrives in a fast-paced, team-oriented environment. Manage phone calls, email, email organization and correspondence, directing them to the appropriate contacts. Assist in preparing and submitting certified payroll reports for public works and federal projects. Support project managers in ensuring compliance with DIR, Davis-Bacon, and Skilled & Trained Workforce requirements. Schedule and coordinate meetings, appointments, and project timelines for management and staff. Organize and maintain project files, subcontractor files, contracts, and documentation. Prepare and edit reports, memos, drafts, and emails. Develop and manage spreadsheets for administrative needs. Facilitate communication with vendors, subcontractors, and clients. Monitor and replenish office supplies to ensure efficient operations. Maintain a clean, organized, and fully functional office environment. Provide general administrative support to management and field teams as needed. Qualifications

Bachelor's degree preferred; high school diploma or equivalent required. 5 years of administrative experience, preferably in construction or related fields. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Adobe Acrobat. Strong organizational, multitasking, and time management abilities. Excellent written and verbal communication skills. Familiarity with QuickBooks, Project Sight, LCP Tracker and Slack preferred (training available). Experience with or knowledge of DIR, Davis-Bacon, and Skilled & Trained Workforce compliance strongly preferred. Basic knowledge of construction terminology, certified payroll reporting, and documentation standards a plus. Ability to work under pressure, adapt quickly, and contribute as a strong team player.
