We are looking for Document Controls and Records Management Specialist for our Naval Reactors Facility project office 55 miles from Idaho Falls. Your role will be to provide support and oversight in the definition and implementation of Document Management and related systems for the Amentum Critical Mission Solutions Nuclear Projects and Consulting Line of Business programs and projects.
Additionally, you may be responsible for assisting in the development of processes and procedures according to the dynamic needs of our clients and services.
Experience should include knowledge of: document control processes; records archiving, retention, and destruction practices; and the ability to handle confidential information discreetly. Strong knowledge of document control and records compliance, digitization, and metadata integration is desirable. Must be a self-motivated, effective communicator, with a strong background in Records and Information Management within Engineering, Program Management, Procurement, and Construction Management services. Responsibilities include: The Document and Records Specialist is responsible for the creation, organization, management, and protection of both physical and electronic records and documents. This role ensures that all records are accurate, secure, accessible, and compliant with legal and organizational standards. The position includes primary and secondary, and occasional remote/telework work location responsibilities, requiring experience across physical and digital environments. Document Control Process and distribute communications and information flow such as submittals, Requests for Information (RFIs), and document turnover. Create, revise, and format documents including contracts, reports, and manuals. Track and manage document version control to ensure accuracy and consistency. Verify that controlled documents include essential information such as dates, titles, and applicable signatures before processing. Ensure all documents are clear, concise, and compliant with regulatory standards. Records Management ·
Organize and maintain documentation (documents and records) during the design, construction, commissioning, closeout, and turnover phases of projects in hard-copy and electronic retention systems, as required. Organize, classify, and maintain records in a systematic and secure manner. Support the complete records lifecycle, including creation, classification, retention, archival, and compliant disposal. Digitize physical records and ensure proper indexing and storage. Assist in document and records audit processes. Respond to internal and external records requests. Maintain confidentiality and integrity of both physical and electronic records. Systems and Technology Utilize and operate document management tools and electronic records management systems (ERMS). Collaborate with IT to troubleshoot and improve document systems. Train staff on document and records management systems. Reporting and Support ·
Provide direct contribution to the daily business of document and records management. Reporting for document and records management metrics and compliance. Document and track the disposition of records (e.g., archiving, destruction). Provide support for audits and legal inquiries. Ensure quality/compliance of Program document management plans and process, as well as alignment with Program and Corporate requirements and other duties as assigned. Remote Work Responsibilities Access and manage electronic records securely from remote locations. Communicate effectively with team members and stakeholders via the Teams platform. Ensure remote work complies with organizational data security policies. Maintain productivity and responsiveness while working off-site.
