Description We are seeking a highly organized, proactive Executive Assistant to support our executive leadership team. The ideal candidate will be a strong communicator, exceptional at managing schedules, and deeply organized. This role will ensure executives' time is optimized, communications are handled smoothly, and administrative operations run seamlessly. Key Responsibilities
- Manage complex executive calendars, schedule meetings and travel, anticipate conflicts, and coordinate logistics for internal and external meetings.
- Serve as primary point of contact for calls, emails, and correspondence. Draft and proofread communications while maintaining professionalism and confidentiality.
- Prepare agendas and materials, take notes, track action items, and ensure timely follow-up.
- Coordinate travel arrangements, itineraries, and expense reporting.
- Maintain organized filing systems, contact lists, and records; perform research and data gathering as needed.
- Assist with special projects, event coordination, and general administrative tasks to help executives meet deadlines and priorities.
- 3-5 years (or more) experience as an Executive Assistant, Administrative Assistant, or similar role supporting senior leadership.
- Excellent verbal and written communication skills.
- Strong organizational, time-management, and prioritization skills; ability to handle multiple tasks under pressure.
- High level of discretion, integrity, and confidentiality.
- Proficiency in calendar tools (e.g. Outlook, Google Calendar) and standard productivity tools (e.g. Microsoft Office/Google Workspace).
- Ability to anticipate needs, be proactive, and work independently with minimal supervision.
- Experience coordinating travel and expense reporting.
- Familiarity with virtual meeting tools (Zoom, Microsoft Teams, etc.).
