Description We are looking for a highly organized and proactive Executive Assistant to support three newly appointed Chiefs: the Chief of Government, Chief Program Officer, and Chief Engagement Officer. In this long-term contract role, you will play a crucial part in managing complex schedules, facilitating communication, and ensuring smooth collaboration between executives and the Board of Directors. This position is based in Los Angeles, California, and requires occasional onsite presence, particularly for Board meetings held mid-month. Responsibilities:
- Manage and coordinate the calendars of multiple executives, ensuring seamless scheduling and prioritization.
- Provide support to the Board of Directors by handling calendar management and collaborating with executive search firms.
- Communicate effectively with policymakers, stakeholders, and external partners, maintaining a meticulous and confident demeanor.
- Learn and utilize collaboration tools such as Airtable and Microsoft Teams Loop and Planner to streamline workflows.
- Assist with technology setup and troubleshooting to facilitate efficient communication between leadership and external parties.
- Organize and book travel arrangements, ensuring all logistics are handled accurately and efficiently.
- Prepare for executive meetings by coordinating agendas, materials, and follow-ups.
- Facilitate collaboration between executives and the Board to ensure alignment on organizational goals.
- Serve as a resource for adapting to and implementing new tools and processes within the executive team. Requirements - At least 3 years of experience as an Executive Assistant, preferably supporting multiple executives. MUST HAVE LOOP AND PLANNER EXPERIENCE ON Microsoft TEAMS. - Proven ability to manage complex schedules and coordinate across multiple stakeholders. - Excellent organizational and communication skills, with the ability to adapt to changing priorities. - Proficiency in collaboration tools such as Microsoft Teams, Airtable, and other workflow management software. - Strong attention to detail and confidence when interacting with high-level stakeholders. - Ability to book and coordinate travel arrangements with precision. - Quick learner who is adaptable and thrives in a collaborative environment. - Tech-savvy with the capability to troubleshoot and manage technology needs.
