Description We are looking for a skilled and proactive Executive Assistant to provide high-level support to a fast-paced real estate development executive team. As a trusted partner, you will manage day-to-day activities, communications, and special projects to ensure the leadership team can focus on strategic priorities. This is a Contract position based in Scottsdale, Arizona. Responsibilities:
- Manage complex calendars and schedules, ensuring seamless coordination of meetings, events, and appointments.
- Organize travel arrangements, including booking flights, accommodations, and preparing itineraries for domestic trips.
- Prepare and review meeting materials, agendas, and follow-up documentation to support executive operations.
- Draft, edit, and proofread correspondence, presentations, and reports with a high level of accuracy.
- Assist in preparing materials for corporate and investor relations, including assembling presentations and taking meeting minutes.
- Monitor project deadlines, track key deliverables, and follow up on outstanding tasks to ensure completion.
- Maintain organized records of contracts, budgets, and other project-related documentation.
- Oversee expense reporting, ensuring timely and accurate submission in line with company policies.
- Coordinate company events, managing logistics, vendor relations, and budgets to deliver successful outcomes.
- Facilitate communication between the executive team and internal or external stakeholders, ensuring professionalism and discretion. Requirements - A minimum of 5 years of experience providing executive support to senior leadership, preferably in real estate, construction, or a related field.
- Strong organizational and time management skills, with the ability to manage multiple priorities effectively.
- Excellent written and verbal communication skills, with attention to detail.
- Proficiency in Microsoft Office Suite and familiarity with expense and project management tools.
- Proven ability to work independently and adapt to a fast-paced, deadline-driven environment.
- Strong attention to detail and confidence in interacting with high-level stakeholders.
- Experience handling confidential information with discretion and a high level of integrity.
