Overview As a Senior Talent Acquisition Operations Coordinator within the Talent Acquisition Operations team, you will play a pivotal role in executing and optimizing day-to-day recruitment operations. You'll be responsible for supporting scalable hiring processes, enabling system efficiencies, coordinating with internal stakeholders, and ensuring a seamless experience for candidates, recruiters, and hiring managers. You will serve as the operational point person for interview logistics, offer generation, pre‑employment checks, and systems support, helping to drive operational excellence across the TA function. This is a highly collaborative role that works closely with recruiters, HR, Legal, and Finance to ensure compliance, consistency, and efficiency in all TA processes. You will be based in our New York City office and report to the Director, Talent Acquisition.
You Will
Partner with recruiters and recruiting operations leadership to ensure seamless scheduling, coordination, and execution of interviews, offers, background checks, and pre‑hire activities
Create and review offer letter templates (globally), continually improve the background check process, and ensure onboarding tasks are seamless
Be the main point of contact to troubleshoot and elevate issues related to Workday, ServiceNow, background check tool or other recruiting technologies
Identify and implement process improvements that enhance efficiency and elevate the candidate and hiring manager experience
Support the rollout of new recruiting tools and systems, including testing, documentation, and stakeholder communication
Serve as a subject matter expert (SME) in core TA systems (Workday, ServiceNow) and tools used by recruiting coordinators
Partner with the Sr. Manager, Talent Acquisition Operations on project work related to systems, templates, SOPs, or process enhancements
Help onboard and train new Recruiting Coordinators including providing mentorship, training, and best practices for current Recruiting Coordinators
Contribute to documentation, reporting, and analytics that help track TA team performance and coordination metrics
Support change management and training efforts when introducing new tools or process updates across the TA team
Support vendor‑related operational activities such as background check escalations, onboarding vendors and invoice processing
Support the Sr. Manager, Talent Acquisition with projects on an as‑needed basis
You Have
5 years of experience in recruiting coordination or talent acquisition operations, ideally in a global or fast‑paced organization
Demonstrated ability to manage complex coordination logistics and competing priorities with a high degree of professionalism
Proven ability to manage high‑volume, deadline‑driven work with a high level of attention to detail
Hands‑on experience with Workday Recruiting, background check systems (e.g., Sterling), and ticketing tools such as ServiceNow
A continuous improvement mindset with a passion for optimizing workflows and delivering exceptional candidate experiences
Strong communication and stakeholder management skills across all levels of the organization
Familiarity with hiring compliance requirements, offer generation, and pre‑hire processes
Proficiency in tools such as Google Workspace (Docs, Sheets, Slides), Slack, and project tracking tools like JIRA or Asana
Experience supporting or participating in TA‑related projects (e.g., system clean‑up, onboarding enhancements, offer letter audits)
Passion for improving candidate and recruiter experience and optimizing operational workflows
