Summary The Director of Operations provides leadership and oversight for the organization’s administrative, financial, and operational systems. This position ensures that accounting, human resources, technology, contracts, and facilities are managed efficiently and align with the organization’s mission and compliance requirements. The Director of Operations works closely with the Executive Director, contract CFO, and Audit & Finance Committee to ensure sound fiscal management and operational excellence.

Key Responsibilities Financial Management

Manage all Accounts Receivable (AR) and Accounts Payable (AP) processes in QuickBooks Online, ensuring timely and accurate transaction processing.

Record and reconcile donor gifts and pledges in Bloomerang, coordinating with development staff to ensure consistency between financial and donor databases.

Collaborate with the contract CFO to prepare and review monthly financial reports, budget-to-actual summaries, and other financial analyses.

Support the Audit & Finance Committee by preparing materials, tracking follow-up items, and presenting relevant updates.

Coordinate the annual audit and Form 990 preparation with auditors and the CFO.

Assist in the annual budget development and mid-year review process in partnership with the Executive Director and department leads.

Manage overhead allocations across programs to ensure accurate cost tracking.

Oversee credit card management, ensuring proper coding, documentation, and reconciliation of all expenditures.

Grants, Pledges, and Scholarships

Coordinate grant and pledge tracking, ensuring funds are recorded, monitored, and reported accurately.

Oversee scholarship program accounting and reconciliation, working with program staff to align disbursements with donor intent and organizational policies.

Human Resources & Payroll

Manage payroll and employee data through Pando HR (or other HRIS platform).

Lead new hire onboarding, ensuring proper setup, training, and compliance documentation.

Oversee the annual employee review process, coordinating with supervisors to ensure timely completion and consistency.

Maintain HR records and assist with benefits administration and compliance reporting.

Operations, IT, and Facilities

Provide oversight of IT systems and technology vendors, ensuring data security and smooth daily operations.

Manage property and lease agreements, including maintenance coordination and vendor relations.

Coordinate all organizational contracts, ensuring timely renewals, compliance, and documentation.

Leadership & Supervision

Supervise the Aksarben Foundation Administrative staff providing mentorship, training, and performance feedback.

Foster a collaborative, solutions-oriented workplace culture that values accuracy, efficiency, and accountability.

Serve as a key member of the leadership team, contributing to organizational strategy and decision-making.

Qualifications

Minimum of 5–7 years of progressively responsible experience in nonprofit operations, finance, or administration.

Bachelor’s degree in Accounting, Business Administration, Nonprofit Management, or related field required; Master’s degree/CPA optional.

Strong understanding of nonprofit accounting, including GAAP, audit, and 990 compliance.

Proficiency in QuickBooks Online, Bloomerang (or similar CRM), and Microsoft Office/Google Workspace.

Experience with HR and payroll systems (Pando or comparable).

Excellent organizational, analytical, and communication skills.

Ability to manage multiple priorities with accuracy and meet deadlines.

Proven leadership skills with experience supervising staff or interns.
