Job Description This position is responsible for the day-to-day administration of policies, procedures and programs that assure a well-managed, well-maintained single or multi-tenant property. Maximum emphasis is placed on providing a positive response to the concerns and needs of the tenants and quality programs, in conjunction with the Owner’s goals and objectives. The Senior Property Manager serves as a liaison between owners and tenants and serves as the company's key property management representative for its portfolio assignments. The position supervises and takes responsibility for the operation and maintenance of the portfolio in an efficient and effective manner, ensuring that income is maximized, and expenses are managed and controlled while ensuring a high level of tenant satisfaction. Working with owners and tenants to understand their goals, objectives, requirements and expectations, the Senior Property Manager ensures the asset is managed to the highest level possible in accordance with the best standards of the industry. This position requires working non-traditional hours, including weekends, evenings, and holidays as needed to ensure the smooth operation of the property and to address urgent tenant and maintenance needs.
Responsibilities
Uphold Company Vision and Values
Assist in the development and execution of all maintenance programs related to the interior and exterior conditions and appearance of the property, assuring the highest levels of tenant satisfaction.
Manage onsite staff, if any, to include Assistant Manager and all Maintenance Technicians.
Maintain budget parameters and continually review/rebidding expenditures.
Participate in the selection of contract services, vendor negotiation of service agreements and day-to-day monitoring of vendor performance to ensure compliance with standards.
Work with staff to set and attain meaningful performance and developmental goals. Monitor progress and provide appropriate support.
Address necessary issues to keep unsatisfactory performance, disruptions and discontent to a minimum.
Assist Leasing Agent and Building Engineer in the process of new tenant construction build-out including maintaining tenant improvement cost totals.
Perform annual lease audits and monthly property inspections; maintain current certificates of insurance on all tenants.
Invoice and ensure collection of monthly rent and all other receivables.
Maintain current tenant amenities and develop new ideas to aid in tenant relationship-building and retention.
Maintain community and professional relations by participating in related organizations.
Perform all functions as prescribed in the Management Agreements with particular care given to limits of authority and ownership notification requirements.
Lead the preparation of the annual budget including income, operating expenses, capital expenditures and debt service. Complete the Executive Summary and other supplemental information necessary to address assumptions, changes, projects, etc. Lead budget presentation to the building owner.
Complete operating expense reconciliation at the end of each year and bill tenants for overages or credits.
Other duties as necessary to conform to ownership requirements, performance standards, and to the needs of the portfolio and its tenants.
