Hanwha Qcells USA Corp (Qcells USA) specializes in providing utility‑scale modules, solar photovoltaic (PV), and battery energy storage systems (BESS) project development, along with engineering, procurement, and construction (EPC) services for solar and BESS projects nationwide. Qcells USA delivers comprehensive turnkey solutions encompassing the entire utility‑scale project lifecycle and integrates the expertise of its Module, Development, and EPC teams with Project Finance, Systems Integration, and Legal groups.

This role supports the Executive Team, ensuring smooth operation of executive‑level functions. The Executive Assistant reports to the CEO, or a senior executive designated by the CEO, and works from the Houston office five days a week. Working hours are Monday through Friday, 8:00 a.m. – 5:00 p.m. or 9:00 a.m. – 6:00 p.m. local time. Travel up to 10% of the time is expected.

Essential Job Function & Responsibilities

Coordinate overall administrative activities.

Assist with coordination and communication of business needs across the organization.

Perform data entry, prepare reports and presentations, invoices, and other administrative tasks.

Organize and manage meetings, prepare agendas, take minutes, and ensure all necessary materials are available.

Schedule and coordinate appointments, meetings, and travel arrangements, including passport and visa preparation and support.

Prepare and submit expense reports on behalf of travelers.

Maintain accurate and confidential files, records, and databases.

Develop and implement new administrative systems.

Collaborate with team members and other departments to ensure effective communication and results.

Maintain regular attendance in accordance with the company’s attendance policy.

Support high‑level customer, external, or headquarters meetings with meal coordination and other meeting preparations.

Perform other duties as assigned.

Required Qualifications

Bachelor’s Degree in Business Administration, Management, or another business‑related field.

Minimum 7 years of experience in an administrative role.

Minimum 5 years of experience working with C‑level executives in a corporate environment.

Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).

Excellent written and verbal communication skills.

High level of discretion and confidentiality in handling sensitive information.

Strong problem‑solving skills and the ability to anticipate needs proactively.

Experience managing complex calendars, scheduling across multiple time zones, and travel logistics for U.S. and international high‑level meetings.

Ability to work independently with minimal supervision and as part of a team.

Familiarity with construction management software (Procore) is a plus.

Experience submitting expense reports (Concur) is a plus.

Strong attention to detail and commitment to producing high‑quality work with accuracy.

Ability to adapt quickly to changing priorities and handle multiple tasks simultaneously.

Professional demeanor and excellent interpersonal skills.

High level of confidentiality with company information.

Ability to travel up to 10% of the time.

Ability to multitask and thrive in a fast‑paced working environment.
