Job Description The Staff Accountant serves as a key member of the organization’s financial processes. This position performs a variety of tasks to support the following business areas: accounts receivable, accounts payable, banking, and credit cards. The Staff Accountant supports the daily operations of the accounting department, monitors and analyzes financial data and reports, and ensures compliance with GAAP and company policies. This position reports to the Controller.

Essential Duties & Responsibilities

Support the daily operations of the accounting department including month-end and year-end processes, accounts payable/receivable, and general ledger activities.

Create estimates and utilize progress invoicing in QuickBooks Enterprise; use production tracking system to invoice clients and enter subcontractor expenses; process client invoices on a weekly, bi-weekly, or monthly cadence.

Comply with multi-state sales tax regulations where applicable; assist with city, state, and local tax filings; monitor AR aging and proactively engage with clients.

Enter vendor bills and credit card statements with proper job allocations; process credit card receipts and monthly credit card transactions; scan vendor payments and backups for audit compliance.

Create vendor purchase orders as needed and process vendor bill payments weekly with Controller approval.

Manage cash receipts, general ledger entries, fixed asset activity, and banking activity (ACH, wire, deposits).

Monitor and analyze accounting data and generate financial reports or statements; coordinate and complete annual audits.

Provide recommendations to improve systems and procedures; adhere to proper accounting methods, policies, and principles; establish and maintain fiscal files and records.

Perform other related duties as necessary or assigned.

Qualifications

Bachelor's or Associate degree in accounting plus two or more years of accounting experience, or an equivalent combination of education and training.

5+ years of accounting experience preferred.

Ability to perform accounting functions in accordance with GAAP and company policies.

Strong customer service orientation with excellent interpersonal and collaboration skills.

Experience supporting initiatives related to organizational growth or restructuring; strong judgment and problem-solving abilities.

Project management and time management skills with ability to manage multiple priorities in a fast-paced environment.

High integrity and confidentiality; proficient with Microsoft Office, Google Workspace, and accounting applications such as QuickBooks and ERP systems.

Clear verbal and written communication skills across all levels of the organization; telecommunications, construction, or manufacturing industry experience preferred.

Prior Paycom payroll experience preferred but not required.

Physical Requirements

Prolonged periods of sitting at a desk and using a computer and keyboard.

May require long hours in a stationary position; ability to lift up to 20 pounds as needed.
