Position Summary Sponsored Projects Administration, Pre‑Award, manages a portfolio of ~2,500 awards annually, totaling over $441 million. The Grants Assistant I supports administrative tasks for sub‑awards and subcontracts across UGA departments, ensuring compliance with sponsor regulations and UGA policies.

Responsibilities

Assemble sub‑award and subcontract packages based on documents and data provided by Grants Specialists and Grants Officers, ensuring compliance.

Initiate sub‑awards/subcontracts on behalf of the University of Georgia and the Research Foundation, issuing them to subrecipients for signature.

Prepare and record modifications to sub‑awards and subcontracts (e.g., re‑budgets, No‑Cost Extensions) and issue for signature.

Record and encumber sub‑awards and subcontracts in the Grants Portal, UGA Procurement System, and UGAMart.

Manage the central email account for Sponsored Projects Pre‑Award and perform related duties.

Obtain compliance approvals for awards and modifications, ensuring all documents are in the award workspace and creating cover pages for UGARF awards.

Duties & Time Allocation

Sub‑award package assembly – 35%

Sub‑award/spender modifications – 15%

Database entry and encumbrances – 15%

Email account management – 20%

Compliance approvals and document preparation – 15%

Qualifications

High school diploma or equivalent.

Strong customer service orientation with ability to respond to faculty, unit, and sponsor inquiries under supervision.

Attention to detail, strong computer skills for high‑volume data entry into multiple electronic systems.

Effective written and oral communication skills.

Ability to establish and maintain effective working relationships with university personnel.

Physical Demands Sitting at a computer and desk for long periods.
