Kelly Services is currently accepting candidates with Administrative experience to work as a Administrative Assistant to support a busy and growing HVAC/Service Company.

The ideal candidate will have experience with QuickBooks and be proficient in handling a variety of administrative tasks. You will be responsible for processing invoices, matching them with QuickBooks entries, answering phones, and performing data entry. Attention to detail and the ability to work independently are essential.

Responsibilities

  • Process and reconcile AC Technician invoices, matching them with corresponding entries in QuickBooks.
  • Answer phones and provide excellent customer service.
  • Perform accurate and efficient data entry.
  • Maintain organized files and records.
  • Assist with general office duties, such as photocopying, scanning, and faxing.
  • Handle incoming and outgoing mail.
  • Communicate effectively with technicians, customers, and vendors.
  • Assist with other administrative tasks as needed.

Qualifications

  • Proven experience with QuickBooks is essential.
  • Strong attention to detail and accuracy.
  • Excellent organizational and time management skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Ability to prioritize tasks and manage time effectively.
  • High school diploma or equivalent.

Schedule

  • Monday - Friday, 7:30 AM to 4:30 PM
  • Flexible schedule may be considered for the right candidate.
