Job Description Summary

The Groups Reservations Coordinator will manage the Passkey system. Passkey is a system heavily used on the group side and requires constant monitoring. In addition, this position will handle all of the reservations that FD currently handles (BT bookings, social/catering blocks, airline reservations etc).

Special Qualification, Education or Licenses: High school education or equivalent Reservations experience preferred Hotel experience required Essential Elements:

Regular and punctual attendance Ability to adhere to Sonesta grooming standards. Ability to utilize communication equipment, for example (telephones, radios, computers, etc.). Ability to communicate clearly and effectively with guests. Ability to interact with guests and other employees in a courteous, empathetic, and discreet manner. Ability to read, write, and count effectively. Ability to perform basic arithmetic, including use of percentages. Ability to type a minimum of 30 words per minute Ability to perform tasks requiring sustained repetitive motion and/or fine motor skills. Job Tasks:

Strong organizational skills. Ability to prioritize tasks. Act as a reservations agent when needed, Strong Telephone skills. Strong Computer and Data Entry skills. Ability to read Group Contacts and Recaps and format HIS according to the requirements of contracts. Attend daily business review and daily operations meeting to report the previous night's statistics and any pertinent daily information required for guest satisfaction. Prepare for and lead a weekly group pickup meeting with the Sales and Catering Department. Verify all group resume information at time of distribution for accuracy as a last check before group arrival. Check for accuracy and approve bi-weekly OTA commission reports. Utilize systems related to the functions of Reservations and Revenue Management, including but not limited to OPERA CLOUD, Sonesta Connect, DELPHI, Passkey, Synxis, IDeaS, GDS, and Third Party Extranet Sites. Own and manage all sellouts until day of arrival. Upon day of arrival, turn over the responsibility to Front Office management but continue to assist as needed, or as directed by DOSM. Review and analyze various reports related to Revenue Management, either received or created, and act accordingly based upon information and analysis. Reports include, but are not limited to, STAR reports, Hoteligence reports, competitive shop reports, market demand reports, and CRS/PMS/RMS/GDS reports. Train sales staff as needed on systems, enhanced sales techniques, and all other functions and policies relative to the department. Assist the Area Director of Revenue Management in compiling month-end reports and information. These reports include, but may not be limited to, e-commerce production, Local Corporate production, and sellout efficiency. Work closely with the Director of Sales and Marketing and Front Office Manager to ensure their departmental objectives and responsibilities to the hotel are met without having a negative impact on total rooms revenue management. Act as "Gate Keeper" to property reservation systems, ensuring all reservations entering systems adhere to pricing and inventory controls and hotel policies set by the DFO and DOSM. Review room revenue adjustments and track for repetitive errors in Reservations and/or Front Office. Use a tracking tool to eliminate future mistakes and minimize adjustments. For optimal revenue maximization and guest experience, maintain a continuously balanced room inventory at least 30 days out or over high-demand dates farther out. Works with the Sales Team as needed to ensure effective and efficient management of group inventory daily - provides direction when needed on cutoff date extensions and additions to inventory. Consistent review of sales booking system reports, including the GRC and other Delphi reports. Review weekly booking pace reports and analysis on pace, recommending strategy changes daily or at minimum weekly. Ensure forecasts are done with accuracy. Review competitive shops for each hotel and identify selling strategies and market trends. Shop hotels and competition through the internet/brand websites to ensure proper positioning of hotels and assess the competitive environment. Ensure that all room statistics reports and any other related reports are accurate and consistent. Ownership of crew manifests and building reservations. VIP reservations as assigned by the sales department. To perform other work-related duties as assigned by the Director of Front Office and the Director of Sales & Marketing.
