Manager, Executive Support & Operations , you’ll be the heartbeat of our workplace and a critical partner to the CEO. This hybrid role blends high-level executive support with day-to-day office operations, requiring a proactive, organized, and resourceful individual who thrives in a fast-paced environment. You’ll manage the CEO’s calendar with precision, help prioritize and drive key initiatives, and coordinate high-impact meetings and projects. Simultaneously, you\u2019ll ensure the smooth running of the office—managing vendors, supplies, safety protocols, and on-site logistics. This role is ideal for someone who loves being two steps ahead, solving problems before they arise, and making a visible impact across the team. Location:
Brooklyn, NY (3-4 days a week onsite) Responsibilities
Manage the CEO’s calendar, meetings, and priorities to ensure optimal time utilization Support executive team members with scheduling, logistics, and coordination as needed Prepare agendas and manage logistics for executive meetings and company-wide All Hands Conduct research and execute special projects across various departments Provide strategic support on high-priority initiatives and special projects Office & Operations Management
Serve as the primary liaison with vendors (IT, facilities, supplies, etc.) to ensure smooth day-to-day operations Ensure the office remains functional, welcoming, and compliant with safety and emergency protocols Manage shipping/receiving of mail, packages, and equipment Maintain and replenish office supplies, product samples, and tech inventory (e.g., laptops) Coordinate basic IT needs and partner with third-party IT providers for troubleshooting and support Event & Meeting Coordination
Plan and support in-person events, meetings, and offsites—including setup, breakdown, and logistics Help source and manage external partners (e.g., speakers, trainers, hotels, event vendors) People Ops
Assist with onboarding/offboarding tasks (equipment shipping, building access, welcome kits, etc.) Maintain accurate employee access and office system records Requirements
Proven experience as an Executive Assistant, Office Manager, or in a hybrid role supporting senior leadership and office operations Expertise in calendar management, meeting coordination, and handling sensitive information Strong organizational and problem-solving skills; comfortable managing multiple priorities Experience liaising with vendors and managing office operations, facilities, and supplies Basic IT troubleshooting skills and experience working with external IT support Excellent verbal and written communication; professional and approachable demeanor Proficient in Microsoft Office (or similar productivity tools) Ability to work on-site several days per week and support in-person meetings/events as needed Desired skills
Experience with project management tools: Asana preferred Event planning or coordination experience Familiarity with workplace safety, compliance, and facilities protocols Experience supporting C-level executives Exposure to basic HR or People Operations functions (e.g., onboarding/offboarding, equipment logistics) Budgeting or expense tracking experience Ready to apply?
