Overview
The Elections Clerical Unit Supervisor (Operations Supervisor) leads the Clerical / Voter Registration Unit within Multnomah County’s Elections Division. This full-time position supports daily operations, implements program goals and objectives, and drives quality and performance improvements while ensuring high levels of customer service and staff development in a busy environment. As The Elections Clerical Unit Supervisor, You Will
Supervise and evaluate the work of staff including Office Assistant Seniors, Program Technician, and up to 30 On-Call Election Workers and On-Call Office Assistant Seniors; provide coaching and performance feedback. Conduct and facilitate staff training related to customer service and data entry of voter registration. Troubleshoot staff data entry and computer application problems. Review work for accuracy and conformance with policy and procedures. Supervise election ballot requests and updates. Supervise all incoming and outgoing mail processing, including date stamping, sorting, batch categorization, and distribution. Supervise and support customer service interactions in person, by phone, and by email. Prepare and coordinate staff work schedules. Plan and facilitate regular Clerical Unit / Voter Registration staff informational meetings. Maintain up-to-date customer service and data entry procedures in collaboration with the Project Manager and Procedure Team; ensure staff compliance. Collaborate with the Elections Operations Manager to facilitate data collection within the unit. Promote a cooperative team environment; research and implement technical and/or administrative revisions to office systems, procedures, and policies. Participate in hiring, scheduling, supervision and training of temporary personnel for election activities. Support the Voting System Specialist and clerical unit during scheduled testing for voter registration system updates; assist in determining whether updates pass system testing. Troubleshoot complex voter registration and voting issues; train and update staff on system updates and changes in software applications. Specifically, We Are Looking For Someone Who
Has experience leading a diverse team and managing day-to-day activities. Can work calmly under pressure, think clearly and quickly, and manage multiple tasks. Provides professional customer service for internal and external customers; able to work with diverse and sometimes difficult clientele. Communicates in a friendly, open, and respectful manner in person, by phone, and via email. Is culturally sensitive and understands equity principles. Qualifications
To Qualify We will consider any combination of relevant work experience, volunteering, education, and transferable skills as qualifying unless labeled required. Minimum Qualifications/Transferable Skills: Equivalent to a bachelor’s degree (or related experience in lieu of a degree) and one (1) year of elections related or supervisory experience. Ad-hoc telework may be available; on-site work is required. All Elections positions are essential during peak election season and may require in-person work during those times.
