Administrative Assistant & Bookkeeper at Designer Window Supply, San Diego, CA. We are seeking a highly organized, detail-oriented professional to oversee daily office operations, manage accounting functions, and support team coordination in a fast-paced environment. Responsibilities
Administrative / Office Management: answer phones, route messages, greet and assist clients Open and close the facility daily Handle incoming/outgoing mail Track and issue contracts and purchase orders (POs) Maintain electronic job folders File preliminary lien notices as needed Bookkeeping / Accounting (QuickBooks Online): Accounts Receivable – generate and send invoices, record payments/deposits, update AR aging, follow up on outstanding balances, maintain delivery and payment records Accounts Payable – enter and code bills and vendor acknowledgments, print and mail checks weekly Provide accounting support for Head of Operations Qualifications
Experience in office administration and bookkeeping QuickBooks Online proficiency Proficient in Excel, Google Workspace, and general business software Detail-oriented, organized, and self-motivated Excellent communication, clear, respectful, and professional Ability to juggle multiple priorities and maintain discretion with financial and personnel information Benefits
