Human Resources Payroll Administrator
We are looking for a detail-oriented Human Resources Payroll Administrator to join our team in Warwick, Rhode Island. In this role, you will manage payroll operations, oversee compliance with tax and regulatory requirements, and ensure accurate processing of employee deductions and benefits. You will also handle administrative tasks related to union agreements and liaise with external auditors, contributing to the smooth operation of our payroll functions.
Responsibilities:
- Process weekly payroll for salaried, hourly, and union employees, ensuring accuracy and timely delivery.
- Calculate and manage employee and employer deductions, including taxes, benefits, garnishments, child support, and union dues.
- Stay informed on regulatory, tax, and compliance changes that impact payroll operations.
- Prepare manual checks for employees as needed, maintaining proper documentation.
- Reconcile payroll system interfaces, ensuring all discrepancies are resolved promptly within the payroll cycle.
- Handle federal and state payroll tax filings, verifying accuracy and reconciling with payroll records.
- Serve as the point of contact for external auditors regarding payroll-related matters.
- Prepare month-end reports for payroll accruals, bonuses, vacation balances, and paid time off, ensuring alignment with the general ledger.
- Manage payroll processing related to union employees, including layoffs and payouts.
- Ensure compliance with union collective bargaining agreements by accurately processing union deductions and reporting.
Requirements:
- Proficiency in accounting software systems and payroll platforms, such as ADP Workforce Now.
- Strong knowledge of payroll tax regulations and compliance requirements.
- Experience with 401(k) or RRSP administration and benefit functions.
- Familiarity with certified payroll processes and union-related tasks.
- Ability to prepare accurate AIA billing and reconcile payroll data to the general ledger.
- Excellent organizational skills and attention to detail.
- Strong communication skills for liaising with auditors and third-party partners.
- Previous experience in auditing or accounting functions is preferred.
