What We Need
We're seeking a
Customer Onboarding Coordinator . The Customer Onboarding Coordinator is a Hardware Deployment & Installation focused role responsible for managing hardware deployment logistics, ensuring installation readiness, and coordinating resources for successful field installs. This role works cross-functionally with Sales, Customer Success, and Installation Vendors to gather hardware requirements, configure deployment plans, and track execution progress from start to finish. Coordinators ensure installers and self-install customers have accurate documentation, site access details, and clear guidance while maintaining CRM project records and providing regular updates. They also monitor vendor performance, validate device activations, and support resolution of any installation-related issues. This position is ideal for a detail-oriented communicator with experience in fleet technology, field logistics, or onboarding operations.
What You'll Do
Deployment Coordination
Configure install requirements using internal tools and templates, ensuring compatibility of hardware and any add-ons based on vehicle specifics.
Collaborate with Sales Account Executives to gather critical hardware, vehicle, and location information.
Create and manage deployment schedules by identifying customer timelines, site access needs, and preferred installation methods.
Match customers with the best-fit Installation Vendors or prepare them for self-install with clear instructions and technical documentation.
Ensure Installers have accurate POCs, install guides, and hardware pairing details.
Coordinate pre-installation logistics, including trip charge approvals, shipment schedules, vehicle readiness, and installation location verification.
Finalize hardware shipment planning and break down install batches by location.
Assist Customer Success and Customer Support teams with managing any future installation related requests for prospective or deployed customers
Project Communication & Documentation
Act as the liaison between customers, internal stakeholders (Sales, Customer Success), and Install Vendors throughout the installation lifecycle.
When necessary, join introductory calls with Sales and customers to advise on install recommendations, configurations, and expectations.
Maintain accurate and up-to-date project details in the CRM
Provide proactive updates and final installation confirmations to Sales, Customer Success, or the Customer based on process requirements.
Validate successful installations through documentation review, device status reporting, and issue resolution.
Vendor Oversight & Quality Assurance
Track Install Vendor responsiveness, schedule adherence, documentation quality, and device health post-install.
Flag concerns early, manage resolution paths, and ensure proper billing for all install related services.
Ensure all install work aligns with pre-defined or approved and documented scope of work, GPS Insight Install vendor guidelines, and any designated customer requirements for on-site work.
Experience
2+ years in implementation coordination, logistics and fulfillment planning, customer onboarding, or field service scheduling and/or dispatching required.
2+ years of experience with transportation/fleet related technologies preferred
Experience creating and using CRM Software Reports and other Reporting Tools, preferably NetSuite, SalesForce, and Microsoft Excel.
Strong organizational skills and ability to manage multiple deployments simultaneously.
Excellent communication skills with both technical and non-technical stakeholders.
Knowledge of GPS tracking hardware and vehicle diagnostics is highly desirable.
Comfort navigating logistics, installation planning, and cross-functional dependencies.
Excellent personal organization and problem-solving skills, with ability to work well under pressure and to meet deadlines
Strong work ethic with the ability to self-start, prioritize, and multi-task
