The Event Planning Manager's primary focus is on servicing Sales bookings, with a particular emphasis on the Social market. This position serves as the liaison between clients, event planners, and hotel Operational departments. Responsibilities include reviewing the Sales agreement, detailing all food and beverage, Room setup, and A/V needs, as well as managing room blocks with the reservation team, handling billing, and conducting final reviews. Event Planning Managers also serve as on-site contacts and support operational departments to ensure the high-level execution of all events.
Some of the responsibilities include: •
Work closely with clients to understand what they want for the event •
Plan events across key market segments to include corporate events, socials & weddings. •
Aim to exceed all revenue and profitability objectives of the department. •
Working closely and in conjunction with Clients & the Operations Team to ensure that all aspects of events are effectively coordinated and serve both the client's and hotel's needs. •
Responsible for arranging and running client meetings, menu tasting sessions and planning appointments, as necessary. •
Conduct thorough site inspections to assess booked space, ensuring it meets client expectations and is in line with hotel standards. •
Ability to monitor Client budgets, balanced with a proactive approach to secure additional opportunities to build revenue from contracted levels •
Coordinate with internal departments in the hotel to ensure seamless execution of events. •
Maintain good relationships with various vendors involved in the event, as well as with venue owners •
Meets and greets in-house meeting planners where appropriate to ensure total client service and improve MPSI Scores •
Oversee event set-ups before the commencement of functions. •
Conduct a pre- and post-event analysis to be able to plan appropriately and also to improve in different areas • To carry out any other reasonable duties and responsibilities as assigned by senior management
