The Space Telescope Science Institute seeks two Event Planners to support the Events Planning Group (EPG). Previous event planning experience is required.

As a member of the

Events Planning Group

, you'll play a crucial role in ensuring smooth day-to-day business operations by supporting activities around event logistics, travel, procurement, data management, problem resolution and more.

These positions support a hybrid work schedule and require onsite presence at our Baltimore campus during preparation for and support of in-person events. Candidates must reside in or be willing to relocate to our local market (MD, DE, VA, PA, DC & WV). U.S. citizenship or permanent residence status is needed to meet ITAR requirements.

FULL TIME PERMANENT ROLE (#13214)

1 YEAR TERM APPOINTMENT THROUGH SEPTEMBER 2026 (#13045)

Responsibilities include:

High level event support including meeting/seminar/travel coordination, procurement, data management, problem resolution, calendar coordination and meeting requests.

Organizing, planning and managing all aspects of the event planning process including pre-planning, logistics coordination, participant registrations and reservations, travel authorization and expense reports, execution and post-event review for in-person, hybrid and virtual events.

Providing professional, proactive customer service to STScI staff and external partners.

Develop and maintain collaborative relationships with internal and external partners and vendors

Work with in-house teams and departments for event webpage creation, event advertising logistics and AV requirements.

Work with external vendors and caterers to obtain required event supplies and services.

Skills/Experience Include:

Demonstrated experience with coordinating/managing virtual, in-person and hybrid events, preferably in a corporate or academic setting

Skill in organizing and prioritizing your workload, with a strong attention to detail

Excellent time management, customer service and communication skills

Proven tracking system/strategy for managing, completing and following up on tasks

Qualifications:

4+ years of conference/event support experience.

High school graduate or equivalent

Intermediate to expert skills in Outlook and Microsoft Office, with specific attention to Excel

Substitution of additional relevant education and/or experience for stated qualifications may be considered.

The annual salary range for these roles is $50-70,000.

The posted salary range represents a general guideline. STScI considers several factors when determining base salary offers, such as internal pay equity, the scope and responsibilities of the position, the candidate's experience, education, and skill, and current market conditions.
