Job Title: Document Management Specialist
Work Location: Atlanta, GA
Salary: Based on experience and will be discussed with manager in interview
In the role of Document Management Specialist, you will play a vital part in overseeing all documentation essential for meeting daily departmental deadlines. You will efficiently process print requests, which includes both scanning new drawings and plotting from existing electronic files.
Duties/Responsibilities:
Review, log, copy, distribute, and file all incoming and outgoing communications, construction documentation, submittals, and other relevant documents according to established work processes.
Utilize your basic understanding of construction projects and documentation systems.
Manage project folder creation and maintenance, along with formulating logs and acting as the primary contact for document and drawing number allocations.
Ensure all documentation is properly approved, complete, and legible.
Prepare and manage records for scanning and archiving to maintain organizational integrity.
Conduct quality control checks on scanned images and data entry.
Establish and maintain both electronic and physical filing systems for various project and departmental documents such as engineering designs, procurement records, manuals, and any other relevant materials.
Provide assistance to Project Manager during audits and as necessary.
Uphold confidentiality regarding sensitive documentation.
Education/Experience:
Bachelor's degree in Business Administration or a related field.
Experience in the construction industry, demonstrating a solid understanding of construction processes, techniques, and regulations.
A minimum of 5 years of administrative or data entry experience.
Excellent proficiency in MS Office applications, including Word, Excel, and Outlook.
Strong data entry and inventory database skills are essential.
Must possess a valid driver's license and be insurable.
Familiarity with standard business office procedures.
Strong attention to detail and commitment to documentation quality.
Able to read, understand, and follow both oral and written instructions effectively.
Ability to establish and maintain positive working relationships with clients, colleagues, and the public.
Highly organized with a keen attention to detail.
