The Meetings & Events Coordinator

is a key member of the marketing team, responsible for supporting MCEDC's event marketing initiatives aimed at attracting new businesses and retaining existing ones, thereby reinforcing Montgomery County's status as a leading business destination.

Essential Functions/Duties/Tasks include, but are not limited to:

Local Events, Conferences & Trade Shows:

Assist in the planning and execution of key conferences and trade shows in target markets outside Montgomery County, MD. Coordinate logistics, including sponsorships, signage, registrations, and ensure timely submission of all creative materials. Serve as the primary liaison with event organizers and provide on-site support during events. Manage the shipping, setup, and execution of exhibit booths and organizational presence as outlined in event agreements. Support the organization's Business Retention & Expansion (BRE) strategy by coordinating activities related to employer roundtables and other local events, including those co-hosted with partner organizations. Oversee event logistics, setup, and inventory management before and after events. Collaborate across departments and with external partners to ensure the organization's presence meet Marketing standards, materials are targeted to the right audiences, and our brand's visibility is consistently represented. Event Management:

Maintain and update event listings on the organization's calendar, coordinating registrations, deadlines and general event-related communications with members of the Business Development and Marketing teams. Manage on-site event engagement, ensuring marketing efforts are effective, gathering audience feedback, and staffing booth. Track and report on lead generation activities from booth interactions, providing insights on event performance, recommending improvements for future event participation. Required Qualifications:

Bachelor's degree in Event Management, Marketing, Business Administration, or a related field. Minimum of 3-5 years of professional experience in event planning and coordination, preferably within the private sector or corporate environment. Demonstrated ability to manage multiple events simultaneously, including logistics, vendor coordination, and on-site execution. Strong organizational skills with keen attention to detail and the ability to meet deadlines consistently. Excellent written and verbal communication skills. Proficiency in Microsoft Office Suite. Willingness and ability to work flexible hours, including evenings and weekends, as needed. Valid driver's license and reliable transportation. Requires approximately 45-50% travel within the DMV region and out of state to attend conferences and trade shows. Preferred Qualifications:

Certification in event planning or related professional development is a plus. Bilingual proficiency is highly desirable.
