This position will sit out of our Rocket Ranch in Briggs, Texas.

SUMMARY

As the primary ambassador of Firefly Aerospace at our Briggs, TX facility, the Facilities Services Coordinator III delivers high-touch support for visitors, executives, and team members alike. This role is perfect for a proactive, polished communicator who thrives in a fast-paced, aerospace startup environment and excels at event coordination, guest engagement, and office operations.

RESPONSIBILITIES Collaborate closely with the VP of Marketing, CEO Office, and Chief of Staff to plan and execute tours, investor visits, and VIP events across three Texas campuses. Lead the coordination of event logistics including venue, décor, catering, A/V setup, promotional materials, and swag. Delegate tasks and coordinate with Office Service Coordinators at other sites to ensure smooth event operation and staffing. Provide administrative support to the COO and VP of Production & Operations, including scheduling, correspondence, and preparation of briefing materials. Manage vendor scheduling, process NDA documentation, assist with contract review, and serve as the vendor liaison for on-site coordination. Maintain a strong partnership with the Grab & Go (Canteen) vendor; troubleshoot POS payment issues and menu concerns. Plan and coordinate both on-site and off-site company lunches, employee engagement events, and small gatherings. Oversee ordering and inventory of office supplies; maintain mail and package handling procedures to ensure accurate delivery across the site. Maintain and update seating charts and office layout plans. Support the executive team with small projects, special initiatives, and ad hoc administrative needs. Serve as the first point of contact for colleagues, visitors, and external partners; provide assistance and answer inquiries with professionalism. Provide AV/media setup support, including conference rooms and presentation spaces, collaborating with IT as needed. QUALIFICATIONS

Required

Minimum 3 years of experience in office administration, concierge services, or facilities coordination within a technical or corporate setting. Exceptional interpersonal and communication skills; polished phone, email, and face-to-face presence. Demonstrated ability to manage multiple projects simultaneously with strong attention to detail. Comfort working in a dynamic, fast-paced (sometimes ambiguous) aerospace, R&D, or startup environment. Highly proactive, adaptable, and resourceful; able to anticipate needs and handle unexpected challenges with poise. Advanced proficiency with Microsoft Office (Word, Excel, Outlook, Teams). Professional attitude and flexibility; comfortable with Monday-Friday onsite from 7?AM to 3:30?PM CST, plus occasional overtime. Desired

Bachelor's degree or equivalent administrative experience. Prior event planning experience in corporate or aerospace environments. Experience using Visio or CAD or similar software to maintain seating plans or office layouts. Strong organizational skills with an affinity for process and structure. Passion for aerospace and interest in startup growth culture.
