MARKETING COORDINATORThe Marketing Coordinator plays an essential role in supporting the operational rhythm of our business development and marketing teams.This role provides seamless coordination between client-facing strategy, pursuit execution and marketing operations.This position requires a detail-oriented organizer and communicator who can manage competing priorities while maintaining a high standard of professionalism and accuracy.You'll work closely with sales leaders and marketing managers to coordinate calendars, manage CRM updates, support proposal efforts and drive event logistics.From prepping materials for client meetings to orchestrating logistics for our client summit, you'll be at the center of how we engage, pursue and deliver with consistency and precision.This role is ideal for someone who thrives behind the scenes, cares about the details and understands how operational excellence fuels strategic success.Essential FunctionsSales SupportManage the Sales Director's calendar, including scheduling meetings, arranging travel, submitting expense reports, and coordinating internal team syncs.Organize recurring Business Development team meetings; collaborate with the Sales Director to assign presenters and topics.Coordinate scheduling for Business Development activities, including CRM updates and small client events (e.g., lunches, sporting events, entertainment).Own CRM operations: lead monthly pursuit health check-ins, serve as the go-to resource for questions, and follow up on past due opportunities.Manage Advocate Account Review meetings and prepare customizable templates for Account Managers.Assist in planning and logistics for the annual internal Sales Team Client Summit.Prepare and distribute weekly/monthly sales reports and pipeline updates.Performs other duties as assigned.Marketing SupportBuild and maintain PowerPoint presentations for client meetings and proposals.Format Word and InDesign documents to ensure brand compliance.Package and archive final files: export PDFs, organize source files, archive prior versions, and prepare submission-ready ZIP packages.Own the pursuit closeout process, ensuring all documents and insights are captured.Gather and update project descriptions in OpenAsset.Complete vendor registration forms and maintain records as needed.Performs other duties as assigned.Conference & Event SupportSupport the Conference & Events Manager with venue research, vendor coordination, and logistics planning for conferences, trade shows, and client events.Assist with scheduling meetings, preparing presentations, and providing on-site event support as needed.Manage event inventory, including tracking and maintaining pull-up banners, branded giveaways, tablecloths, and other physical materials.Coordinate shipping and retrieval of booth assets and promotional materials.Track event-related expenses, manage registration lists, and support post-event follow-up activities.Performs other duties as assigned.Client Engagement SupportOwn the holiday gifting process, including research, procurement, personalization, tracking, and distribution.Manage the client BBQ program, coordinating logistics, invitations, and on-site support.Own the ticket allocation and tracking process for client-facing entertainment events (e.g., sports games, concerts).Performs other duties as assigned.Requirements:Bachelor Degree in Marketing, Journalism, Communications, or related degree Required and at least min 1 yr relevant exp.Proficient in Microsoft Word, Excel, and Power Point.Excellent communication skills: verbal, technical writing and creative writing as well as proofreading and editing.High level of attention to detail.Candidates must be legally authorized to work permanently (i.e., without time limitations, without restrictions or without need for work sponsorship) in the country where this position is located.EEO/Disabled/Veterans
