Equipment Maintenance Coordinator

The Service Writer / Estimator / Purchaser plays a critical support role in United Dredging's internal maintenance operations. This individual is responsible for writing service requests, estimating repair costs and timelines, purchasing parts and supplies, and coordinating all scheduled maintenance to ensure optimal equipment readiness. This role ensures proactive planning and communication across shop and field teams to minimize downtime and control maintenance-related costs.
Key Responsibilities
Service Writing
Open and manage internal work orders for equipment maintenance and repairs. Communicate repair needs, status updates, and schedules with mechanics, shop leads, and field operations. Ensure work orders are accurately documented with parts, labor, time estimates, and completion status. Estimating
Review incoming maintenance issues and coordinate inspections or technician input to develop accurate time and cost estimates. Track actual labor and parts usage against estimates to identify variances and support future planning. Collaborate with the Shop Manager to prioritize repairs based on urgency, impact on field operations, and budget. Purchasing
Source, order, and track parts and supplies required for maintenance and repair of equipment and vehicles. Maintain relationships with preferred vendors to secure competitive pricing and lead times. Monitor and maintain inventory levels of commonly used parts and consumables. Manage returns, warranty claims, and backorders as needed. Scheduled Maintenance
Maintain and execute a proactive maintenance schedule for all company equipment, ensuring timely service intervals based on usage, manufacturer guidelines, and operational needs. Coordinate scheduling with field supervisors and shop leads to minimize service disruptions. Keep accurate records of completed maintenance and upcoming service deadlines. Key Metrics of Success
On-time completion of maintenance tasks aligned with repair estimates. Effective execution of the scheduled maintenance calendar. Cost efficiency and budget control on parts procurement. Reduction in equipment downtime, both reactive and planned. Clear and timely communication between shop, field, and operations staff. Qualifications
High school diploma or equivalent required; Associate's degree or technical training preferred. 2+ years of experience in a service writer, maintenance coordinator, or procurement role in an industrial or heavy equipment environment. Familiarity with mechanical systems, parts sourcing, and shop workflows. Proficiency with inventory management systems and basic estimating tools. Strong communication, organizational, and follow-through skills. Working Conditions
Primarily office/shop environment with frequent interaction with mechanics and field supervisors. Occasional exposure to equipment and tools in operational settings.
Ability to lift up to 25 lbs. and perform basic physical tasks as needed.
