Job Summary:
We are seeking a detail-oriented and experienced
Payroll Administrator
to manage all aspects of payroll processing for a multi-state workforce. This role requires expertise in both in-house and third-party payroll systems, union and certified payroll reporting, and job cost allocation. The ideal candidate will play a key role in ensuring payroll accuracy, regulatory compliance, and efficient reporting to support internal teams and external stakeholders.
Key Responsibilities:
Payroll Processing
Administer full-cycle, multi-state payroll for hourly, salaried, union, and non-union employees. Process off-cycle payrolls and corrections as needed while maintaining data accuracy and confidentiality. Ensure correct application of earnings, deductions, garnishments, and taxes. System Management & Implementation
Support the setup, implementation, and maintenance of third-party payroll providers (e.g., ADP, Paychex, Paycom). Ensure seamless integration between payroll, HRIS, timekeeping, and accounting systems. Compliance & Reporting
Maintain compliance with all federal, state, and local payroll regulations. Prepare certified payroll reports for public works and government-funded projects. Manage union payroll, including dues calculations, benefits reporting, and submissions. Produce reports for audits, internal reviews, and government agencies as required. Job Cost Allocation
Accurately allocate payroll costs to the correct job codes, projects, and departments. Work closely with project managers and finance teams to support labor cost tracking and reporting. Reconcile payroll with job costing data to ensure labor is appropriately billed and budgeted. Vendor & Stakeholder Coordination
Serve as the primary point of contact for third-party payroll providers. Partner with HR, accounting, and operations to resolve discrepancies and streamline processes. Continuous Improvement
Recommend and implement process improvements to enhance payroll accuracy and efficiency. Keep current on changes in payroll laws, prevailing wage regulations, and system capabilities. Qualifications:
3-5+ years of payroll administration experience, including multi-state payroll. Experience with both in-house and outsourced payroll processing. Demonstrated experience in job cost allocation and labor cost tracking Knowledge of union payroll and certified payroll reporting strongly preferred. Proficiency with payroll software (e.g., ADP, Paycom, Paychex) and Microsoft Excel. Strong understanding of wage and hour laws, tax compliance, and labor allocations. Excellent organizational, problem-solving, and communication skills. High level of discretion and confidentiality in handling sensitive information. Preferred Certifications:
FPC or CPP certification (Fundamental Payroll Certification or Certified Payroll Professional)
