Job Summary

Under limited direction, this position is responsible for managing and supervising the Convention and Visitors Bureau (CVB) meeting and event venues, including the Convention Center, Cotton Belt Historic District, Grand Hall, Grapevine Fairway Events Center, Grapevine Main Event Center and Palace Arts Center. Essential Functions

1. Ensures the preparation of all venues and function rooms for events as scheduled. Determines types of materials, supplies and equipment needed; determines type of merchandise to be bought and stocked. Monitors or ensures events are secure. Assists in planning and provides internal coordinating services to execute customer events. Assists in maintaining events calendar and prepares related documentation as required. Ensures all staff members maintain constant contact with customer before, during and after events to ensure arrangements are satisfactory. Assures the collection of outstanding fees for rental and in-house catering.

2. Directs the work of subordinates, hires, terminates or makes suggestions and recommendations as to hiring, termination, promotion or other change of status that is given particular weight; involved in planning long and short-term business objectives.

3. Provides training for all staff to assure highest levels of presentation and service.

4. Ensures the staff members solicit and service both existing as well as new clients and maintain proper records of all conversations and all contracts.

5. Responsible for overall coordination of events set-up, caterers, security, suppliers, vendors, etc. that are scheduled at CVB meeting and event venues. Coordinates staffing with Manager of PAC and Markets. Oversees scheduling of support staff, orders supplies, and assists in preparing the annual budget for this area and monitoring the expenses.

6. Provides direction on all interactions regarding purchasing, outside vendors and caterers. Maintains associated events records and documentation using current software programs. Assists in maintaining all facility equipment and inventory.

7. Assists in planning and controlling the budget. Formulates, interprets and implements operating procedures for event and meeting venues. Monitors legal compliance issues.

8. Provides schedule of repairs, replacement and maintenance of all meeting and event venues to supervisor. Schedules cleaning of all CVB facilities including public restrooms, Liberty Park, Gazebo, Heritage Center, Museums. In conjunction with other CVB staff, schedules maintenance of meeting and event venues.

9. Oversees short and long-range venue planning, operations, event scheduling and venue administration and reporting. Develops operating procedures for meeting and event venues. Assures maximum utilization of venue, rental and in house catering revenues while providing high quality service.

10. Oversees the preparation of all administrative reports. Maintains all event venues in top condition.

11. Assists at CVB sponsored events.

12. Performs related duties as directed when such duties are a logical and appropriate assignment to the position.

13. Regular and timely attendance are required for this position.

SKILLS, KNOWLEDGE AND ABILITIES • Must have excellent verbal and written communication. • Must have strong analytical skills. • Must be comfortable working outside comfort zone with a willingness to learn. • Must be a team player who is able to work in a fast-paced environment with deadlines. • Must have proficiency in various software packages, including Microsoft Word, Excel and Outlook. • Ability to provide excellent customer services including a desire to help customers regardless of their circumstance. • Ability to effectively communicate information and ideas in writing, as well as through speech, so others will understand. • Ability to work independently and with minimal supervision. • Must have the ability to learn additional applications as they are applied to our working assignments. • Ability to maintain cooperative-working relationships with employees and those contacted in the course of work. • Must possess strong management skills. • Ability to organize and supervise all sizes of groups and diverse types of events, enforce policies and procedures, make mature judgments. • Ability to work irregular hours and schedules. • Ability to operate a personal computer, make general mathematic calculations, and maintain accurate records and statistics. • Knowledge of quality control programs. • On occasion, may perform a variety of physical skills including, but not limited to, lifting/moving up to 35 lbs., walking up and down steps, moving tables and stacking chairs.

EDUCATION, EXPERIENCE AND OTHER REQUIREMENTS

Requires a Bachelor's degree plus five (5) years of management experience, or an equivalent combination of education, training and/or experience that provides the required knowledge, skills and abilities to perform the essential job functions.

Must have or obtain a food handlers certificate and TABC certification within twenty (20) days of hiring or promotion.

Must pass a Federal/National criminal background check and credit check. Must have a valid Texas driver's license with an acceptable driving record as defined by City policy.

Must pass a pre-employment drug screen.

WORKING CONDITIONS

While performing the essential functions of this position the employee is rarely exposed to disagreeable environmental factors. There will be occasional exposure to outdoor weather elements as the position requires working outdoors during CVB sponsored events throughout the normal course of the year.

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
