Womble Bond Dickinson (US) LLP is seeking an Events Coordinator to join their team. The ideal candidate will be strategic, self-motivated, organized, process and creative minded, curious, and detail-oriented with the ability to lead an event from start to finish. This position works collaboratively with the Business Development Specialists, and the firm’s Campaign, Digital, and Creative teams to ensure coordination, effective engagement of resources, consistency of approach and high-quality execution of initiatives. This position is instrumental in supporting a very busy events program throughout our footprint.

Responsibilities

:

Work collaboratively with our Events Team to help drive strategies, creative problem solve, and shape each of our events to produce a high quality experience. Support in-person event logistics, including venue negotiation and selection, food and beverage requirements/selection, audio-visual, and related activities. Conduct virtual events utilizing multiple webinar platforms (webex, zoom, teams and cvent) Utilize Cvent software to efficiently plan, manage, and execute events, including registration, attendee tracking, and post-event analysis to ensure seamless event operations and enhance participant experience. Conduct/research site visits, select and secure appropriate venues, and, working with procurement, process contracts. Maintain accurate and up-to-date records and files for all event management projects. Identify appropriate contact/invite lists and gain internal approvals for use. Distribution of invites and response receipt and tracking using technology systems and CRM. Work with Creative Team to design and produce all event-related materials including invitations, signage, and name badges. Manage event budgets. Maintain development of best-in-class project timelines and status reports, and provide regular updates to Event Director and key stakeholders. Work with appropriate team members surrounding CLE accreditation process. Oversee the management and distribution of the firm's promotional giveaways, ensuring accurate tracking and inventory control to maintain optimal stock levels and support marketing initiatives. Work with the Campaigns Team as needed to identify a content strategy built around an event topic. With the Business Development Team, help identify and drive important and appropriate lawyer follow-up post-event. Post-event responsibilities include: compiling program feedback, sharing post-event recap with team, budget reconciliation, and updating CRM. Coordinate with our Digital Team to create and distribute event listing pages on social media websites. Track event key performance areas and identify items to work on for future events. Provide general organizational and operational support to the Event Director and Event Manager in the development and execution of other elements within the Events Team. Requirements

:

Preferred 1-3 years of professional service experience with significant skills in the development of event strategy. Bachelor’s degree in Marketing, Business Administration, Hospitality Management or related field; or equivalent work experience in events, marketing or business development. Exceptional computer skills in Microsoft Office Suite including Word, Excel and Power Point. Must be a highly motivated self-starter; exhibit a high degree of initiative and intellectual curiosity. Must possess strong independent judgment in order to establish and manage multiple priorities simultaneously in a demanding, fast-paced, deadline-driven, detail-oriented work environment. Outstanding interpersonal, verbal and written communication skills are essential. Ability to communicate with courtesy and diplomacy, in order to maintain effective relationships with a diverse group of attorneys and business professionals. Superior analytical and critical thinking skills that support strong problem-solving capabilities are necessary. Ability to work under strict deadlines Experience coordinating large-scale events Excellent project and time management skills in order to develop project plans, coordinate projects, communicate changes and progress, complete projects on time and manage project team activities. Excellent organizational skills including record keeping, data collection and system information. Ability to compile and analyze complex data and furnish concise, detailed information in report format, written correspondence, e-mail or verbally. Some travel required (as needed) for this position.
