Job Summary Report to the PRIDE Program administrator, providing oversight to daily program operations and implementation of training deliveries for the PRIDE Foster & Adoptive training program. This includes serving as a program liaison with DCFS and Private Agency field personnel and other collateral entities and providing direct supervision and oversight of PRIDE Trainers and support staff. Participate in OLPD and PRIDE program, leadership and staff meetings.
Duties & Responsibilities Manage and oversee workflow and daily operations for trainings, including creating training schedules, assigning trainers to course trainings according to the co-training model, and managing, tracking, updating schedules, and assignment changes in the Learning Management System (LMS) and in program approved digital file sharing and storage systems. Ensure all involved parties are notified of schedule changes. Monitor caregiver enrollment & class capacity for course additions. Respond to requests for in-person trainings, arranging for onsite venues, creating schedules, identifying trainers, and ensuring supporting resources and surveys are provided. Serve as a training liaison to DCFS and private child welfare agency staff. Coordinate monthly licensing meetings to address training needs and program issues. Collaborate with the PRIDE administrator to ensure sufficient deliveries of caregiver trainings are offered and provided by the PRIDE trainers. Coordinate training delivery and provide support to trainers as needed. Conduct monthly trainer observations, offer coaching, and arrange for staff development to support professional growth as needed. Provide supervision to Contract Hourly Trainers, Program Service Aides, and Program Assistants, as applicable. Participate in OLPD and PRIDE leadership and staff meetings, inclusive of supporting PRIDE administrator in facilitating PRIDE staff meetings. When needed, may be required to co-facilitate trainings in order to model or train new trainers, and/or to fill in at times due to trainer staffing shortages. Support the administrator of the PRIDE program in developing and updating Standard Operating Procedures, submitting reliable data for weekly, quarterly, and annual reporting, contributing to modifications to PRIDE program plan, annual training plan, and the GATA Budget. Daily monitoring of PRIDE's shared mailbox and prompt follow up on inquiries. In collaboration with other Workforce Development Programs, Department of Children and Family Services (DCFS), and DCFS vendors collaborate and/or coordinate curriculum updates and other projects. Collaborate with trainers on needed curriculum updates and work with other Workforce Development Programs to support effective caregiver training registrations are occurring. Ensure diverse representation of trainers in curriculum update workgroups. Provide participants, trainers, and licensing workers with technical and general support needed for navigating the Learning Management System (LMS) used by PRIDE. Collaborate with other Workforce Development Programs to store, periodically review, and update PRIDE caregiver curricula in alignment with Workforce Development processes and procedures. Following PRIDE program procedures, store staff contact information, and training related materials in program approved digital storage. Monitor the LMS registration/attendance report to ensure trainer compliance with attendance tracking and manage data points for reporting training outcomes. Utilizing university systems, monitor and approve trainer billing and manage PTO hours. Collaborate with other Workforce Development Program to maintain an electronic inventory of training curricula, Trainer Guides, participant resources, and training handouts. In collaboration with other PRIDE program leadership facilitate regularly scheduled trainer staff development opportunities and events inclusive of, but not limited to, reviewing training performance, data trends & outcomes, curriculum & trainer facilitation strengths, and areas seen as needing improvement. Perform other duties as assigned, which are within the scope of those enumerated above. At times, this may include supporting PRIDE program leadership team during absences of other PRIDE leadership positions. Statewide travel required. Travel Requirements Requires statewide travel.
Minimum Qualifications
Bachelor's degree. Three (3) years in education, training, and/or work experience in child welfare and/or foster care in Illinois. Demonstrated supervisory or leadership experience. Training experience. Preferred Qualifications
Master's degree. Three (3) years of experience overseeing, managing, or supervising direct foster care operations. Two years of experience as an Illinois PRIDE trainer Knowledge, Skills and Abilities
Proficient in both written and oral communication, with strong organizational, problem-solving, and multitasking abilities. Excellent customer service and interpersonal skills, including strong verbal communication, active listening, and the ability to follow both oral and written instructions. Independent judgment and decision-making. Proficient in computer literacy, including the use of Learning management Systems, digital database software, Microsoft Office Suite products (Word, PowerPoint, Excel, Teams) and virtual meeting platforms. Skilled in managing PDF files using Adobe Acrobat Reader. Able to perform data entry and manage workflow to effectively meet deadlines. Skilled in strategic program planning, generating data and/or outcome reports, and engaging stakeholders. Leadership and team management skills, with adaptability and resilience in high-pressure environments with competing priorities. Able to commit to ongoing professional development, delivering high-quality results, and meeting deadlines. Appointment Information
This is a 100% full-time Civil Service 5002 - Program Coordinator position, appointed on a 12-month basis. The expected start date is as soon as possible after the search posting closes. The budgeted salary range forthe position is $63,000- $65,000. Salary is competitive and commensurate withqualifications and experience, while also considering internal equity.Sponsorship for work authorization is not available for this position.
