The Accounts Payable Manager oversees the accounts payable operations for a dealership, managing a team of four employees. This role ensures accurate and timely processing of invoices, payments, and expense reports while maintaining strong vendor relationships and compliance with company policies.
Key Responsibilities:
Team Leadership and Management: Supervise, mentor, and train a team of four AP specialists. Assign and monitor workloads, ensuring deadlines are met. Conduct performance reviews and provide ongoing feedback to team members. Accounts Payable Operations: Oversee the end-to-end AP process, including invoice approvals, payment processing, and reconciliations. Ensure accurate coding of invoices to the correct General Ledger accounts. Review and approve payment batches and expense reimbursements. Vendor Management: Maintain strong relationships with vendors, resolving disputes and payment inquiries. Negotiate payment terms when necessary to improve cash flow. Monitor and maintain vendor records, including W-9s and tax compliance. Compliance and Internal Controls: Ensure adherence to company policies and financial controls. Prepare documentation and support for audits related to accounts payable. Identify and implement process improvements to enhance efficiency and accuracy. Reporting and Analysis: Generate weekly and monthly AP aging reports and payment forecasts. Collaborate with the finance team to manage cash flow and provide accrual information. Analyze AP trends and recommend strategies for cost savings.
Qualifications:
Education: Bachelors degree in Accounting, Finance, or related field preferred, or equivalent work experience. Experience: 5+ years of accounts payable experience, with at least 2 years in a supervisory or management role. Experience in dealership accounting or automotive industry preferred. Skills: Strong leadership and interpersonal skills. Proficiency with dealership management systems (DMS), such as Reynolds & Reynolds, CDK, or DealerTrack. Advanced knowledge of Microsoft Excel and other financial software. Excellent attention to detail and organizational skills.
Key Performance Indicators (KPIs):
Timeliness and accuracy of vendor payments. Reduction in outstanding accounts payable aging. Employee satisfaction and team development progress. Resolution of vendor disputes within defined timeframes.
