About The Role

The Patron Services and Outreach Manager for the Westminster Performing Arts Center (WPA) plays a vital role in audience engagement and operational excellence across the WPA season. This position manages patron services, including front-of-house and box office operations, as well as outreach efforts such as print and digital marketing, web content management, audience development strategies, and event promotion. Working collaboratively with performing arts faculty, staff, students, and campus partners, the manager ensures exceptional experiences for patrons and supports the broader mission of the College of Arts and Sciences.

Minimum Qualifications

Four-plus years of customer service or project management experience Experience with effectively and courteously addressing and customer service needs. Demonstrated project management skills. Highly organized, motivated self-starter that can multitask and juggle priorities during peak seasons. Ability to sit or stand for long periods of time using a desktop computer. Expertise, or demonstrated potential to expertly learn and use, project management platforms, and online ticketing systems and databases Ability to create basic graphic designs in online platforms like Canva or Adobe Express. Excellent organizational, communication, and analytical skills. Ability to work both independently and as part of a team. Capable of problem-solving through appropriate channels. Experience in leading support staff and ensuring that work is completed in a timely, efficient, and professional manner. Working knowledge of traditional and digital marketing tools. Experience with publication and marketing asset production processes. Skilled at copywriting/copy-editing with a strong handle on visual composition.

Preferred Qualifications

Four-plus years of combined customer service and project management experience within arts and culture or hospitality industries. Demonstrated graphic design skills Ability to build productive working relationships with community partners and organizations.

Additional Requirements

Position requires the ability to accommodate a flexible schedule, including evenings, weekends, and holidays, Position requires use of ladders and lifting 25 lbs or more.

Key Responsibilities

Front of House and Box Office

Collaborate with Performing Arts Office manager to hire student box office and outreach employees. Train, schedule, and manage student box office and outreach employees. Supervise and manage Front of House for all WPA events scheduled by academic programs including box office set up and opening, will call tickets, walk up ticket sales, pre-show house check, house opening and intermission protocols. Answer patron phone calls and respond to patron emails and voicemails. Assist patrons with purchases and exchanges. Maintain ticket platform software and equipment including building season in ticketing platform Plan and post way-finding signs as needed. In collaboration with Program Chairs, Directors, and the Risk Management and Safety Team, maintain audience safety measures.

Outreach

Coordinate with Performing Arts Faculty and Staff, the office of Marketing and Communications, and contracted Graphic Designer on performance related deliverables for the WPA Season . Work with the web team to keep performance related webpages up to date. Develop and execute audience development strategy for performing arts. Compile and edit copy for programs and all related performance marketing materials. Assist Program Chairs with implementing comm plan and marketing materials related to student recruitment. Supervise Student Employee positions for appropriate work related to managing social media posting schedules. Collaborate with Program Chairs, Directors, and Disability Services Team to increase access to performing arts activities for all patrons. Collaborate with Performing Arts Admissions counselor on outreach materials (mailers, brochures, comp tickets,) for prospective students. Collaborate with Institutional Advancement on outreach opportunities, donation reports, and performing arts related advancement events (e.g. 1875 Society theatre night) Support event ticketing and house management for campus partner events held in WPA venues as assigned by the WPA Directory

Skills

Strong interpersonal skills to work with patrons, faculty, staff, and students. Excellent verbal and written communication, including copywriting and copy-editing. Professional and courteous customer service skills, including resolving patron issues or inquiries. Ability to manage high-pressure situations with tact and diplomacy. Proficiency with Microsoft Office Suite, including Teams. Detail-oriented with strong organizational and analytical skills Experience in the performing arts, culture, or hospitality industries.
