This temporary role supports SAMs MarCom in executing production workflows and maintaining momentum across multiple marketing initiatives and design deliverables. This temporary Project Manager position helps ensure smooth, on-time delivery of campaign materials by facilitating asset trafficking, approvals, scheduling, and documentation.

Ensure materials progress through appropriate review and approval channels, meeting delivery deadlines. Support coordination of production logistics, including gathering print specs, vendor estimates, and delivery requirements. Schedule meetings and contribute to project check-ins and content planning sessions; take notes and follow up on next steps. Maintain clear and accurate project documentation and workflows. Organize and tag creative assets and production files to align with internal systems and standards. Facilitate communication between creative team members, marketing colleagues, and other stakeholders to keep work moving smoothly. ESSENTIAL DUTIES

Responsibilities will include the following, but are not limited to: Creative Project Coordination – 80%

Contribute to team-wide project planning by preparing visual schedules, tracking tools, and workflow documentation. Support onboarding of vendors or partners as needed for production and installation support. Collaborate on internal process updates and documentation to strengthen creative operations. Other Duties – 5%

WE ARE LOOKING FOR Required Qualifications

Minimum 3 years of experience in project coordination, marketing production, or creative operations. Demonstrated ability to manage details and timelines in a dynamic, deadline-driven environment. Familiarity with creative workflows across print, digital, and/or environmental platforms. Proficiency with project management tools (preferred: Asana), Canva, Microsoft Office, and collaboration platforms like Slack and Zoom. Ability to communicate clearly and work collaboratively with cross-functional teams and external vendors. Organized, proactive, and resourceful approach to problem-solving and task execution.

Preferred Qualifications

Experience supporting marketing or creative teams in a museum, arts, nonprofit, or agency setting. Knowledge of production terminology and processes for print and digital campaigns. Experience working with asset management systems such as Canto.

WORK SCHEDULE

WORK SCHEDULE This is a temporary contract position expected to start in September and run through the end of 2025.

COMPENSATION $30.53 - $33.94 Per Hour

Exposure: Work areas are primarily inside, in a climate-controlled environment with light background noise.

Stationary Work: Approximately 80% of time is spent stationary while working at a desk. Balance of time (approximately 20%) is spent moving around the work area. Occasional extended periods of standing may be required.

Communication: Clear and effective verbal and written communication in English with trustees, the public, and co-workers is necessary.

Vision: Ability to effectively use a computer screen and interpret printed materials, memos and other appropriate paperwork.

Office Work: Ability to effectively and regularly operate a computer, keyboard, telephone, and other office productivity machinery, such as copy machines and printers, and ability to inspect, prepare and use paperwork, files, equipment, and supplies is necessary.
