The Assistant Director, Private Grants plays a critical leadership role in managing the team responsible for financial administration and compliance of private grant funding. Working closely with internal finance teams, program, and development teams to ensure fiscal integrity, regulatory adherence, and effective oversight of private grant portfolios from proposal budget development through post-award closeout.
Reporting to the Managing Director, Business & Revenue Operations, you will:
Finance Team Partnership & Collaboration:
Partner with Financial Planning & Analysis (FP&A) to review funder grant expenditure reporting for accuracy and support the timely closing of grants for assigned divisions, as needed. Ensure the Private Grants Team completes proposal budgets on schedule, in coordination with Development, Program, and Finance teams as part of our private grant process. Regularly monitor and oversee incoming deliverables in collaboration with the Development team, Private Grants Team, and FP&A. Adjust assignments as needed to ensure timely completion aligned with funder deadlines. Provide leadership in post-award financial administration, including budget monitoring, financial reporting, audits, and reconciliation. Collaborate with Accounting to maintain accurate and up-to-date records for pledges and private funds received. Assist with revenue analysis for assigned divisions or agencies, as needed. Work closely with auditors and compliance staff during financial reviews and audits.
Private Grants Team Management:
Oversee financial management of private grant proposal budgets to ensure compliance with funder guidelines and institutional policies, in collaboration with FP&A. Oversee team efforts related to proposal budgeting and financial reporting, including the development of financial narratives in partnership with Development, Program, Policy, and Research teams. Maintain grant documentation and records in compliance with funder and institutional requirements. Develop and implement process improvements to enhance the financial management systems and internal controls of private grants. Supervise and mentor the Private Grants Team, providing regular guidance and support. Conduct performance reviews, hold weekly supervision meetings, and manage administrative responsibilities such as timecard approvals.
Financial Grant Data Management & Reporting:
Complete private funder proposals for assigned divisions and funders. Meet regularly with Program, Policy, Research, and Development teams to align grant spending strategies for designated grants. Create award codes for corresponding budgets in the awards management system for private funding contracts.
Qualifications:
Bachelor’s degree in accounting, Finance, Business Administration, or a related field or related experience. 6+ years of experience in grants management with at least 2 years in a supervisory or leadership role. Strong understanding of fund accounting, nonprofit financial standards, and private grant funding mechanisms. Demonstrated ability to interpret and apply complex grant and contract terms and conditions. Proficiency in financial management systems (e.g., Workday, or similar ERP systems). Advanced Excel skills and familiarity with financial reporting software. Excellent communication and interpersonal skills with the ability to work cross-functionally. Detail-oriented with strong organizational and analytical abilities. Deep commitment in advancing diversity and inclusion into organizational routines and practice. Effectively establish and maintain effective relationships with customers and gain their trust and respect.
Base Annual Salary: $90,000 - $105,000
As of the time of this posting, this is the expected base annual salary range. The base annual salary will be based on a wide range of factors, including skills, qualifications, experience, as well as business needs and limitations.
