The Maintenance Coordinator is a hybrid role designed to centralize and streamline critical operational functions across residential programs. This position serves as the primary liaison between property owners, residential program staff, and administrative teams, with a focus on ensuring safe, compliant, and well-maintained living environments for clients. The role merges property maintenance oversight, landlord relations, property management into a single point of accountability to reduce fragmentation, increase cost efficiency, and improve overall service quality.

Essential Duties and Responsibilities:

1. Property Maintenance & Repair Oversight

Perform and coordinate all routine, emergencies, and preventive maintenance across program sites. Address QA-related findings and incident report damages in real time. Perform basic repairs including plumbing, electrical (lights, switches, outlets), plastering, and painting. Maintain curb appeal of all properties; oversee trash removal, lawn care, and dump runs. Conduct "deep cleaning" quality assurance walkthroughs. Reduce reliance on external vendors through in-house repair efforts when possible. Implement and manage a preventative maintenance calendar via Google Calendar. Maintain accurate service records and maintenance logs for audit readiness. Prepare bids and invoices for projects to provide to DDCS for approval prior to repairs. Ensure to follow appropriate policies for approval processes for maintenance needs. Travel to programs across the state to provide emergency support when requested or when needed. If unable to travel, arrange for proper maintenance to be taken care of. 2. Landlord & Property Management Liaison

Serve as the consistent point of contact for all landlords and property managers as back up for Rep Payees per the request of the supervisor. Support Rep Payees with resolving property-related disputes and maintain positive working relationships with all property stakeholders. When a landlord opts to utilize own contractors for maintenance projects, is responsible for being the primary contact and overseeing project for Rep Payee team and communication liaison. 3. Compliance and Environmental Quality

Conduct scheduled and unscheduled QA inspections to ensure compliance with DDA standards. Review QAs to ensure compliance and follow up with maintenance needs based on QA needs. Review maintenance logs on a weekly basis to create maintenance oversight and follow through for statewide inspections, maintenance, and repairs. Ensure homes maintain a level of cleanliness and pride reflective of agency values. Support program staff in maintaining high standards of property care and compliance. Monitor and update all client property records consistently and accurately. Provide weekly updates on maintenance tasks that were completed statewide and provide them to the leadership team. 4. Staff and Program Support

Provide on-site support to residential teams to address immediate maintenance or environmental concerns. Be a visible and reliable presence across sites to foster collaboration, promote accountability, and increase morale. Support staff with training or instruction on maintenance-related procedures. 5. Inventory and Equipment Management

Maintain accurate inventory of tools, appliances, and maintenance supplies. Coordinate the transfer of necessary equipment between storage and program sites. Communicate supply needs and coordinate with Supervisor for timely procurement. Perform other duties as assigned. Work Environment

The work environment for this position is a fast-paced work environment that requires multitasking, working under pressure, self-direct, and frequent interruptions (telephone calls and in-person interactions). Frequently required to talk and hear. Quiet to moderate noise level in work environment. Often required to sit for long periods of time, use hands and fingers to handle documents. While performing the essential functions of this job, the employee will be exposed to clients who may ask inappropriate personal questions, display socially unacceptable behaviors, use profanity and sexually explicit phrases, make insulting remarks or threats, and exhibit defiance, dishonesty, and assaultive behaviors. Travel across Washington state to maintain programs, on your feet, in the field and not in the office. Required Qualifications

High school diploma or GED equivalent required, trade certification a plus. Minimum 2 - 3 years of experience in facilities management, property maintenance, or a related field. Proven experience with basic home repairs and systems (plumbing, electrical, HVAC, etc.). Basic Budgeting and Procurement Vendor & Contractor Management Knowledge of Local Building Codes & Compliance Regulations Strong organizational and time management skills. Exceptional communication and problem-solving abilities. Proficiency with Google Workspace (Calendar, Drive, Docs, etc.). Ability to work independently across multiple locations. Valid WA driver's license, auto insurance, and reliable transportation required. Experience or understanding of Social Security Income and resources regulations Experience working with DDCS and DSHS or ability to learn and understand policy and procedure. Physical Requirements

Must be able to lift and/or transfer a minimum of 50 pounds. Ability to walk, stand, bend, stoop, and perform manual labor for extended periods. Be able to sit in a car for extended periods of time while traveling to various company locations. Comfortable working indoors and outdoors in various weather conditions. Licensing Requirements

Must pass a Washington State background check Active WA driver license and WA Auto Insurance. First Aid/CPR Certified (within 120 days of employment, training can be provided) Blood Borne Pathogen (within 120 days of employment, training can be provided) Ongoing Eligibility Qualifications

Complete and pass the background check screening upon hire and every two years thereafter, or as requested. Maintain active CPR/First Aid and other required certifications.
