Town of Eatonville (FL) $36,300.00 - $46,987.00 Annually Eatonville Town Hall, FL Full-Time Job Number: 202400003 Department: Finance Opening Date: 05/28/2024 Position Description The Fiscal Assistant / Accounts Payable is under direct supervision of the Finance Director and typically performs clerical and data-entry work in the maintenance of financial records as they relate to accounts payable transactions, records and invoicing. Within this position the employee is responsible for data-entry processing accounts payable transactions, preparing related financial reports, assisting the Finance Director in daily finance/utility department operations regarding revenue collection and funds disbursement. Examples of Duties Audits invoices entered by departments to verify amounts are correct and properly supported. Enters accounts payable information (invoices and P-Cards) into the computer for the Finance Department. Updates Utility Billing and Parks refund interfaces weekly to generate payments to customers. Balances daily batches to weekly totals; generates accounts payable payments; submits positive pay file to the bank. Enters direct disbursement entries for the Finance Department (e.g. payroll & debt service). Imports charges from a merchant bank to the P-Card module and uploads approved charges from P-Card module to General Ledger on a weekly basis; reconciles uploaded charges to town-wide monthly statement and processes payment to the merchant bank. Maintains canceled check records from the bank. Reviews disbursements at year-end to verify expenditures charged to correct fiscal year. Receives and answers vendor inquiries concerning outstanding purchases/balances due. Maintains up to date vendor files as related to accounts payable. Prepares Unclaimed Property Report for the Town. Performs other work as assigned. Knowledge, Skills, and Abilities Working knowledge of English, spelling, grammar, punctuation, and business correspondence. Working knowledge of departmental and municipal rules, regulations, policies, and procedures. Skill in the operation of modern office equipment, computers, and software, including Microsoft Office applications (Word, Excel, PowerPoint, etc.). Skill in data entry and proofing of text and numerical entries. Skill in the use of a keyboard and cash handling. Ability to perform accurate mathematical calculations. Ability to exercise mature judgment in assisting the public and employees. Ability to complete work accurately with a high level of attention to detail. Ability to maintain focus and flexibility with frequent interruptions; ability to follow up and monitor the status of ongoing projects. Ability to complete tasks in a timely manner, multi-task, organize workload, meet deadlines, follow-up and take tasks to completion. Ability to organize technical data and material logically and conduct analysis regarding such data and material. Ability to establish and maintain effective relationships with employees, supervisors, city officials, and the general public. Ability to communicate information tactfully and impartially, both in person and in writing with all staff, town officials, and the general public. Ability to understand and follow oral and written instructions and keep accurate records. This position is performed with working knowledge
the incumbent has the ability to recall and apply important/commonly used information from relevant source documents or in a particular subject field, and has access to reference documents when necessary. Minimum Qualifications High School Diploma or equivalent, supplemented by a minimum of three years of experience in a clerical accounting or bookkeeping support function in addition to at least three years of experience with accounting applications software. An equivalent combination of education, training, and experience, which provide the necessary knowledge, skills, abilities and other competencies required for the position may be considered.
